Job Description
The Civic Services Officer is responsible for supervising and managing daily operations within civic services offices. The role ensures efficient service delivery, compliance with regulatory frameworks, and proper management of records and staff performance.
Main Duties and Responsibilities
Operational Supervision
- Supervise daily civic services operations
- Ensure effective service delivery and support staff performance
- Allocate work and monitor staff progress against targets
Service Quality and Compliance
- Ensure implementation of standard operating procedures (SOPs)
- Monitor turnaround times and service quality
- Identify operational bottlenecks and recommend improvements
- Conduct quality assurance checks
Records and System Management
- Ensure safe keeping of documents and records (DHA requirements)
- Perform system override functions when required
- Capture and maintain performance statistics
Civic Services Functions
- Oversee processing of:
- ID smart cards
- Birth, marriage, and death registrations
- Late registrations and amendments
- Citizenship and travel documents
Reporting and Administration
- Compile end-of-day reports
- Track errors, trends, and service performance metrics
- Support audits and operational reviews
Management Support
- Manage human, financial, and physical resources
- Identify training and capacity needs
- Ensure compliance with Public Service and Civic Services regulations
Minimum Requirements
Applicants must have:
- An undergraduate qualification (NQF Level 6) in:
- Public Management
- Public Administration
- Operations
- Business Management
- Administration
- Law
- Social Science (related field)
AND
- At least 1 year experience in:
- Operations OR customer/client service environment
