Job Overview
The Department of Public Works is seeking three Administration Officers to provide administrative, financial, clerical and project support for construction projects at the Bloemfontein Regional Office.
The successful candidates will assist with construction project claims and payments, maintain project databases and records, coordinate meetings and correspondence, support financial administration, and liaise with contractors, consultants and other stakeholders.
Key Responsibilities
Construction & Project Administration
- Monitor and administer construction project claims and payments.
- Receive and process invoices from Registry Services.
- Capture invoices on the Re-a-Patala payment tracking system.
- Forward invoices to relevant stakeholders.
- Identify discrepancies relating to payment certificates.
- Update project payments on the WCS system.
- Monitor and maintain WCS and Re-a-Patala databases.
- Provide administrative support to the project management unit.
- Disseminate project development status reports.
- Handle queries from consultants and contractors.
- Attend to audit queries.
Office & Records Administration
- Administer office correspondence, documents and reports.
- Maintain project filing systems and records.
- Monitor the flow of information and documents within the office.
- Maintain the component’s leave register.
- Provide general clerical support.
Financial & Supply Chain Support
- Provide financial administration support.
- Capture and update component expenditure.
- Handle telephone accounts and petty cash.
- Provide supply chain clerical support.
- Attend to enquiries relating to project invoices and payments.
Meetings & Logistical Support
- Provide secretariat and logistical support for committees and meetings.
- Arrange internal and external meetings and workshops.
- Prepare documents, presentations and reports.
- Draft agendas and record minutes and decisions.
- Compile submissions and reports.
- Coordinate travel arrangements.
- Complete and submit Subsistence and Travel (S&T) forms.
Requirements
- Minimum three-year tertiary qualification (NQF Level 6) or National Diploma in:
- Public Administration
- Public Management
- Project Administration
- Related field
- Relevant work experience in office administration or project administration.
- Computer literacy, particularly:
- MS Word
- MS PowerPoint
- MS Excel
- MS Outlook
- Proficiency in English as a business language.
- Good verbal communication skills.
- Report and letter writing skills.
- Data capturing ability.
- Knowledge of project principles and methodologies.
- Knowledge of reporting procedures.
- Ability to work independently.
- Good planning and organising skills.
- Understanding of project management in the built environment and construction projects.
