    Job Description

    The Officer will be responsible for providing comprehensive administrative, logistical, quality control and financial support for projects within the Key Concepts in Science Resource Centre. The role involves coordinating project materials, supporting training and mentoring activities, managing project records, overseeing the preparation and distribution of educational resources, and assisting with financial and procurement administration.

    Key Responsibilities

    Project Administration

    • Maintain detailed records of project participants.
    • Prepare registration forms and documentation for enrolment meetings.
    • Prepare attendance registers, feedback forms and assessment documentation.
    • Travel when required to fulfil project responsibilities.

    Material Centre Administration

    • Compile lists of training materials required for different projects.
    • Perform technical editing, quality control and computer layout of training modules.
    • Coordinate the manufacturing of project materials and worksheets.
    • Supervise the packaging of project materials.
    • Dispatch materials to participating teachers according to set timelines.

    Quality Control

    • Conduct quality checks on project training materials and modules.
    • Inspect and verify items delivered by suppliers.
    • Reconcile the number and contents of boxes with project participant records and material lists.
    • Follow up to confirm that dispatched materials have been received.

    Financial Administration

    • Request supplier quotations in accordance with UFS procurement policies.
    • Reconcile expenditure related to project materials and worksheets.
    • Maintain accurate records of income and expenditure.
    • Assist with budget performance documentation.
    • Conduct cost calculations and analyses for different projects.

    Requirements

    • A Bachelor’s degree, Advanced Diploma, B.Tech degree or Postgraduate Certificate at NQF Level 7.
    • At least 2 years’ relevant experience in project and/or financial administration and stakeholder management.
    • A valid driver’s licence.

    Recommended Experience and Skills

    • Knowledge of UFS procurement policies and procedures.
    • Proficiency in ICT and digital platforms.
    • Experience working in a higher education environment.
    • Proficiency in MS Office.
    • Strong organisational and administrative skills.
    • Ability to manage multiple activities and meet deadlines.
    • Strong communication and stakeholder management skills.
    • Ability to work collaboratively and lead when required.
