Job Description
The Officer will provide administrative, logistical, quality control and financial support for projects within the Family Math Resource Centre. The role involves managing project records, coordinating training materials, overseeing the preparation and distribution of educational resources, conducting quality control checks and assisting with procurement and financial administration.
Key Responsibilities
Project Administration
- Maintain and update detailed records of project participants.
- Prepare registration forms and supporting documentation for enrolment meetings.
- Prepare attendance registers, feedback forms and assessment forms for training and mentoring activities.
- Travel when required to fulfil project responsibilities.
Material Centre Administration
- Compile training material lists for project activities.
- Perform technical editing, quality control and final computer layout of training modules.
- Coordinate the production of project materials and worksheets for teacher professional development.
- Supervise and oversee the packaging of project materials and worksheets at the Family Math Material Centre.
- Dispatch project materials to participating teachers according to predetermined timelines.
Quality Control
- Conduct quality control checks on project training materials and modules.
- Inspect and verify materials delivered by suppliers.
- Reconcile the number and contents of boxes with participant records and material lists.
- Follow up to confirm that dispatched materials have been received by participating teachers.
Financial Administration
- Request quotations from suppliers in accordance with UFS procurement policies and procedures.
- Reconcile expenditure relating to project materials and worksheets.
- Maintain accurate records of project income and expenditure.
- Assist with the preparation of updated budget performance documents.
- Conduct cost analyses and calculations for different projects in collaboration with the Project Manager or Programme Director.
Requirements
- A Bachelor’s degree, Advanced Diploma, B.Tech degree or Postgraduate Certificate at NQF Level 7.
- At least 2 years’ relevant experience in project and/or financial administration and stakeholder management.
- A valid driver’s licence.
Recommended Requirements
- Working knowledge of UFS procurement policies and procedures.
