    Purpose of the Position

    The Payroll Support Specialist provides administrative and operational support to the payroll function by ensuring accurate payroll processing, employee record management, statutory compliance, and payroll reporting. The role focuses on maintaining payroll data integrity, supporting employee self-service systems, and ensuring compliance with labour and payroll legislation.

    Key Responsibilities

    Employee Self-Service (ESS) Administration

    • Create and manage Employee Self-Service (ESS) user accounts.
    • Facilitate onboarding and offboarding processes within the ESS system.
    • Maintain employee access rights and user information.
    • Provide support to employees regarding ESS-related queries.

    Payroll Administration

    • Assist with day-to-day payroll processing activities.
    • Maintain accurate payroll records and documentation.
    • Verify payroll information and employee details.
    • Support payroll reporting and reconciliation activities.
    • Ensure payroll data is updated accurately and timeously.

    Banking and Verification Processes

    • Conduct weekly Account Verification Services (AVS) checks.
    • Verify employee banking details before payroll processing.
    • Investigate and resolve banking discrepancies.
    • Ensure compliance with payment verification procedures.

    Statutory Compliance Administration

    • Process and manage labour-related documentation, including:
      • UIF (Unemployment Insurance Fund)
      • Maternity claims
      • Illness benefits
    • Submit monthly UIF declarations.
    • Ensure compliance with relevant labour legislation and statutory requirements.
    • Maintain supporting documentation for audits and inspections.

    Records and Filing Management

    • Maintain organized payroll filing systems.
    • Ensure secure storage of employee and payroll information.
    • Manage payroll documentation in accordance with company policies.
    • Support audit requirements through accurate record keeping.

    Reporting and Administrative Support

    • Prepare payroll reports as required.
    • Assist with payroll audits and compliance reviews.
    • Support the Human Capital team with administrative tasks.
    • Contribute to process improvement initiatives within payroll operations.

    Minimum Requirements

    Experience

    • Minimum of 2 years’ experience in:
      • Payroll Administration, or
      • Human Resources Administration

    Systems Experience

    • Minimum of 2 years’ experience using:
      • Sage 300 Payroll

    Technical Skills

    • Intermediate Microsoft Excel skills.
    • Payroll system administration.
    • Data verification and record management.
