Tender Description
The Department of Environment, Forestry and Fisheries is inviting quotations from suitably qualified catering service providers for the supply and delivery of prepacked breakfast and lunch meals for an event at Meloding Community Hall in Virginia.
The appointed service provider will be responsible for preparing, packaging and delivering meals and beverages while ensuring compliance with all applicable food safety, hygiene and environmental requirements.
Scope of Work
- Supply and deliver 500 prepacked breakfast meals at 07:00 on 6 August 2026.
- Supply and deliver 500 prepacked lunch meals at 13:00 on 6 August 2026.
- Serve meals at five service stations within the community hall.
- Provide beverages and all necessary serving utensils.
- Supply condiments, serviettes, plastic utensils and wet wipes.
- Provide staff in appropriate uniforms and PPE.
- Remove waste using designated bins after the service.
- Transport meals using vehicles fitted with canopies.
Technical Requirements
- Meals must be prepacked in takeaway foam containers.
- Containers must be wrapped in cling wrap.
- Provide paper serviettes, sachet condiments, plastic utensils and wet wipes.
- Provide food-handling tools such as tongs or braai tongs.
- Use suitable vehicles with canopies for meal transportation.
- Staff must wear:
- Disposable gloves
- Hair nets
- Closed shoes
- Aprons
- Prices must include VAT, delivery costs and applicable taxes.
- Services must comply with applicable food safety, hygiene, packaging and environmental legislation.
Mandatory Requirements
Bidders must submit:
- A valid food and health certificate issued by Matjhabeng Local Municipality.
- A quotation on the company’s official letterhead.
- Correct banking details.
- Completed and valid SBD forms.
- Full CSD report.
- Valid Tax PIN.
Important: Failure to submit the mandatory food and health certificate may result in immediate disqualification.
Skills and Capacity Required
- Experience in catering and food service delivery.
- Ability to cater for and deliver meals to large groups.
- Strong food hygiene and safety practices.
- Ability to meet strict delivery times.
- Efficient logistics and distribution capabilities.
- Trained personnel for food distribution and service.
