    Job Description

    The Accounts Administrator will provide administrative and financial support to the production department by managing company expenses, maintaining records, coordinating procurement activities, and supporting inventory control processes. The role requires excellent organisational skills, financial administration knowledge, and the ability to handle multiple priorities while maintaining accuracy and efficiency.

    Key Responsibilities

    1. Financial Administration and Support

    Expense Management

    • Receive and process company expense documentation.
    • Verify and reconcile expenses accurately.
    • Manage petty cash transactions.
    • Reconcile company card statements.
    • Ensure financial records are complete and accurate.

    2. General Administration and Procurement

    Administrative Support

    • Act as the primary contact for daily administrative queries.
    • Provide administrative support to production operations.

    Procurement Support

    • Obtain quotations from suppliers for:
      • Equipment
      • Spare parts
      • Consumables
      • Services
    • Place approved purchase orders.
    • Follow up on supplier deliveries.
    • Coordinate external shipments of parts and supplies.
    • Liaise with logistics and service providers.

    Documentation and Record Keeping

    • Maintain organised physical filing systems.
    • Maintain digital filing systems.
    • Ensure accurate storage of administrative and financial records.

    3. Inventory and Stock Management Support

    Goods Received Voucher (GRV) Support

    Serve as backup to the GRV/Stock Clerk by:

    • Capturing incoming stock and materials accurately.
    • Verifying deliveries against purchase orders.
    • Assisting with stock control processes.
    • Investigating and resolving stock discrepancies.
    • Supporting inventory accuracy and reporting.

    Minimum Requirements

    Qualifications

    • Grade 12 (Matric) or equivalent qualification.

    Advantageous Knowledge

    • Knowledge of meat preparation techniques and meat cuts.

    Experience

    • Minimum of 2–4 years’ experience in:
      • Administrative support
      • Financial administration
      • Accounts administration

    Preferred Industry Experience

    • Manufacturing environment
    • Production environment
    • FMCG (Fast-Moving Consumer Goods)

    Additional Advantage

    • Experience with:
      • Inventory management
      • Goods Received Voucher (GRV) processes
      • Stock administration
