Tender Description
The National Health Laboratory Service is inviting quotations for the supply, delivery, installation and commissioning of six digital voice recorders for the Histology Department at Universitas, Bloemfontein.
The procurement is intended to modernise dictation workflows and integrate the digital voice recording systems with the department’s existing laboratory software. The successful supplier will also be responsible for installation, system integration, staff training, operational demonstrations and after-sales technical support.
Scope of Work
The successful supplier will be required to:
- Supply and deliver six complete digital voice recording systems.
- Provide all necessary accessories and integration services.
- Deliver equipment to the specified Histology Department.
- Install the hardware.
- Synchronise the software with the existing laboratory dictation platform.
- Configure the centralised network client-server system.
- Set up remote data backup functionality.
- Provide on-site training to relevant staff.
- Conduct live operational demonstrations before final handover.
- Provide post-delivery technical maintenance and support.
Technical Requirements
The digital voice recording systems should include:
- Real-time audio recording.
- Architecture scalable to accommodate up to three workstations.
- High-fidelity microphone technology for clear, distortion-free recording.
- Ergonomic slide switch for single-handed operation.
- Durable stainless-steel casing suitable for laboratory environments.
- Docking station with rapid battery charging.
- Integrated barcode scanner for specimen/sample tracking.
- Light and motion sensors for battery conservation.
- Full compatibility with the existing WINScribe laboratory information system.
- Centralised network client-server integration.
- Secure remote data backup.
- Technical support with a guaranteed response within four hours of a request.
Installation, Training and Service Requirements
Suppliers must provide:
- Certified installation by a WINScribe-authorised technician.
- Comprehensive on-site training for relevant departmental staff.
- A live operational demonstration before final handover.
- A written commitment to provide after-sales technical assistance within a four-hour turnaround.
- Verifiable reference letters or project completion certificates for similar installations completed within the previous three years.
Required Documents
Tenderers must submit the required documentation specified in the RFQ documentation.
