    Tender Description

    The National Health Laboratory Service is inviting quotations for the supply and delivery of 36 ergonomic laboratory workstation chairs to various departments at its Universitas, Bloemfontein facility.

    The procurement aims to provide comfortable, ergonomic seating that supports staff posture and productivity while meeting specified safety, durability and procurement requirements. The contract covers sourcing, supply, transportation and delivery of the chairs, with the chairs required to arrive fully assembled.

    Scope of Work

    A total of 36 ergonomic chairs are required across three departments:

    • Virology Department: 15 chairs
    • Cytology Department: 15 chairs
    • Histology Department: 6 chairs

    The supplier will be responsible for sourcing or supplying the chairs, transporting them to the site, delivering them fully assembled and providing at least a one-year warranty.

    Technical Requirements

    The chairs must meet or exceed ANSI/BIFMA standards and include the following specifications:

    • Ergonomic design suitable for prolonged laboratory workstation use.
    • Adjustable seat height from approximately 16–17 inches to 21–22 inches.
    • Five-star base of at least 23 inches across.
    • Soft, removable and replaceable casters suitable for tiled floors.
    • 360-degree swivel capability.
    • Seat pan at least 16 inches deep and 19–22 inches wide.
    • Independent forward/backward tilt adjustment with at least 2 inches of travel.
    • Cascading, rounded and concave front seat edge.
    • Contoured backrest measuring 16–22 inches high.
    • Adjustable lumbar support with at least 3.5 inches of vertical adjustment.
    • Adjustable backrest angle.
    • Height-adjustable and swivel-capable armrests with at least a 2.5-inch adjustment range.
    • Tool-free armrest operation.
    • Firm padding with non-permeable, non-slip and breathable upholstery.
    • Minimum load capacity of 250 pounds.
    • Minimum one-year warranty.
    • Delivery within one month of contract award.
    • Submission of a completed specification compliance sheet.
    • Product brochure/catalogue with images.
    • Formal commitment confirming delivery of fully assembled chairs.

    Supplier Requirements

    Although no specific personnel qualifications are stipulated, bidders must demonstrate the capability to:

    • Source, manufacture or distribute certified ergonomic furniture.
    • Meet recognised international safety and durability standards.
    • Manage logistics and supply-chain requirements.
    • Provide timely and damage-free transportation.
    • Complete on-site delivery and assembly requirements.
    • Comply with South African public-sector procurement requirements.
    • Provide a valid Tax Clearance PIN/Certificate and CSD registration.
    • Comply with the applicable General Conditions of Contract (GCC).
    • Demonstrate sufficient financial and operational capacity for a contract value of up to R1,000,000.
    • Provide verifiable B-BBEE documentation.
    • Provide post-delivery warranty and after-sales support.

    Pricing and Contract Conditions

    • Quotations must remain valid for 90 days.
    • Pricing must be fixed in South African Rand (ZAR) and exclusive of VAT.
    • Pricing must include associated costs such as delivery, labour, consumables, taxes, levies and overheads.
    • The evaluation uses an 80/20 preference point system, with 80 points allocated to price and 20 points to specified B-BBEE-related goals.
    • Suppliers must deliver the chairs fully assembled because the client does not have internal assembly resources.
    • The upholstery must be suitable for laboratory/clinical environments and meet the specified non-permeable requirements.
    • The quoted rates are subject to the tender’s fixed-pricing provisions.
