Job Purpose
To ensure accurate, efficient, and timeous debriefing of drivers by reviewing their daily activities, identifying discrepancies, and reconciling records related to deliveries, fuel usage, payments, and stock movement. The role aims to enhance driver administrative performance, streamline reconciliation processes, and provide reliable reporting to support effective outbound logistics operations.
Minimum Requirements

Education:
-
Grade 12 / National Senior Certificate (NQF Level 4) – essential

Tertiary qualification in Finance, Accounting, or a related field – advantageous

Experience:
-
Minimum of 3 years’ experience in a similar administrative or logistics role.

Sound knowledge of outbound logistics, journals, and invoicing.

Other Requirements:

Computer literacy: Advanced (Microsoft Excel, Word, ERP/WMS systems).

Language proficiency: Fluent in Business English (written and verbal).

Willingness to work shifts, weekends, and public holidays.

Location in Bloemfontein – advantageous.

Key Responsibilities
-
Inspect and verify drivers’ daily jobs to identify and resolve items of concern.
-
Plan and prepare driver documentation to simplify reconciliation processes.
-
Provide timely and accurate information to the Distribution Manager.
-
Support and enhance drivers’ administrative compliance and accuracy.
Debriefing and Reconciliation
-
Conduct debriefing for cash, card, and EFT transactions to ensure full reconciliation.
-
Identify and record cash shortages and prepare Acknowledgment of Debt (AOD) forms where applicable.
Fuel and Vehicle Reporting
-
Record and reconcile diesel usage for all fleet vehicles.

Identify fuel variances and compile diesel reports for management review.
Stock Control and Warehouse Management

Monitor, record, and process all stock damages and upliftments.
-
Conduct stock scanning and reconciliation in the Warehouse Management System (WMS).
-
Ensure accurate allocation of returned stock to driver load sheets.
Administrative and Reporting Duties

Maintain accurate records of daily debriefing and reconciliation activities.
-
Submit reports to management in line with operational deadlines.
-
