Job Overview / Description
The University of the Free State (UFS) invites internal applications only for the position of Assistant Officer (Post Level 13) within the Communication and Marketing Directorate, reporting to the Office of the Vice-Chancellor and Principal.
The role is primarily responsible for supporting the day-to-day operations of KovsieGear, including merchandise administration, financial administration, stock control, and brand and client relationship management. The Assistant Officer ensures effective customer service delivery, accurate financial and stock administration, and professional representation of the KovsieGear brand across the Bloemfontein Campus and other UFS sites.
This is a permanent, semi-skilled position based on the Bloemfontein Campus, offering competitive remuneration and benefits in line with UFS policies.
Key Areas of Responsibility
1. Merchandise Store Administration
Arrange and attend monthly stock meetings with the line manager
Order KovsieGear merchandise following line manager approval
Administer the KovsieGear generic email account when required
Assist with marketing of KovsieGear to stakeholders
Label, unpack, and manage new stock
Report stock shortages and special requests to management
Manage the front desk and perform general clerical duties
Handle telephone enquiries and assist customers with online orders
Prepare quotations and arrange courier logistics for online purchases
Set up and manage marketing events, exhibitions, and graduation displays
Maintain store cleanliness and visual merchandising standards
Implement promotions and sales initiatives in-store and on campus
2. Financial Administration
Perform daily cash-ups and report variances when required
Follow up on quotations within 48 hours
Invoice departmental sales using Pastel
Assist with financial administration for exhibitions and marketing events
Create purchase orders and submit requisitions
Capture journals and financial transactions when required
Maintain accurate financial records and filing systems
Process supplier invoices and petty cash transactions
Ensure compliance with financial procedures and controls
3. Stock Control
Conduct quality control checks on stock in storerooms
Perform daily and manual stock counts and investigate variances
Monitor stock movement between stock rooms and campuses
Maintain accurate stock records and inventory levels
Assist with stock distribution to Qwaqwa Campus and Kovsie INN
Support regular stock-takes and risk control procedures
4. Brand and Client Relationship Management
Deliver professional customer service at all times
Sell merchandise and assist customers in-store
Liaise with designated client groups regarding orders and quotations
Assist with banner and branding logistics for institutional events
Inherent Requirements
Grade 12 or National Vocational Certificate (NQF Level 4)
Minimum of 1 year relevant experience related to the duties of the position
Recommendations (Advantageous)
Knowledge of Microsoft Office, Pastel, and PeopleSoft

Salary and Benefits
Salary
R218,298.69 – R365,979.80 per annum, inclusive of benefits
