Purpose of the Role
To administer and control all dispatch-related activities, including receiving and capturing stock, processing invoices, verifying physical stock, supervising dispatch staff, and ensuring accurate and timely loading and dispatch of goods.
Job Overview / Description
The Despatch Clerk is responsible for the effective administration of the dispatch process at the Bloemfontein Depot. This role ensures the accurate receiving, capturing, invoicing, and dispatch of stock while maintaining high levels of accuracy, efficiency, and customer service. The position plays a critical role in ensuring that stock is correctly recorded, loaded, and delivered on time in line with business requirements.
The successful candidate will work in a fast-paced FMCG environment, coordinating dispatch administration, supervising staff, and ensuring operational deadlines are met.
Key Responsibilities
Receive and capture stock from bakeries for dispatch
Perform data capture of all dispatch-related administration
Process and capture invoices accurately
Assist with handling customer complaints related to dispatch
Conduct regular checks of physical stock versus system stock and verify discrepancies
Supervise dispatch staff and ensure adherence to procedures
Verify physical stock against picking slips on delivery trucks
Ensure correct and on-time loading of delivery trucks
Maintain dispatch accuracy and operational efficiency
Required Knowledge, Skills and Competencies
Strong understanding of business procedures, rules, and processes
Knowledge of in-house systems such as DRM, GP10 and GP2015 (advantageous)
High level of accuracy and attention to detail
Good written and verbal communication skills

Qualification Requirements
Grade 12 (Matric) certificate or equivalent
Computer literacy
Experience Requirements
2–3 years’ experience in a similar role
Previous experience in an FMCG environment is essential
Additional Requirements
This is a 6-day position
Willingness to work Saturdays, Sundays, and Public Holidays as required
Ability to work under pressure to meet daily deadlines
Comfortable dealing with customer complaints
Ability to work effectively in a team-based environment
