Job Description
The Service Advisor will be responsible for managing the complete vehicle service and repair process, from customer booking through to final vehicle handover.
The successful candidate will act as the key link between customers, technicians, parts departments, and the workshop. The role requires strong customer service skills, technical understanding, accurate job administration, and the ability to coordinate workshop activities effectively.
The Service Advisor will also ensure that repairs meet required quality standards, customer concerns are addressed professionally, and vehicles are returned safely and on time.
Key Responsibilities
The Service Advisor will be responsible for:
- Confirming customer requirements, repair scope, expected timing, and mobility needs.
- Checking workshop capacity and parts availability when planning repairs.
- Validating repair requirements through vehicle diagnosis and inspection.
- Conducting test drives where required to identify or confirm vehicle concerns.
- Creating complete and accurate job orders on the DMS.
- Using current technical, repair, and parts information when preparing job orders.
- Coordinating parts, technicians, tools, and equipment to meet agreed completion dates.
- Obtaining customer approval for additional or supplementary work.
- Keeping customers informed about repair progress, delays, and changes.
- Conducting final quality checks before vehicle handover.
- Performing test drives where necessary to verify repair quality.
- Initiating corrective work where repairs do not meet the required standard.
- Handling customer complaints professionally.
- Ensuring priority follow-up on customer concerns until they are resolved.
- Ensuring accurate DISS workshop findings to support field analysis and product concern resolution.
- Advising customers about dealership quality-control follow-up checks.
- Requesting customer participation when contacted for quality-control follow-ups.
- Conducting vehicle safety and roadworthiness assessments during repairs.
- Ensuring unsafe vehicles are removed from service where necessary.
- Ensuring corrective actions are implemented for identified safety concerns.
- Keeping customers informed about required repairs and vehicle safety issues.
Requirements
Minimum Qualifications
Applicants should have:
- A National Diploma in a relevant Engineering field, Marketing, Aftersales, or a relevant qualification.
Work Experience
Candidates must have:
- At least 3 years’ Aftersales experience in a dealership environment.
- Completion of an internationally certified Service Advisor programme.
- Strong Volkswagen and Audi product knowledge.
- Exposure to automotive product issues.
- A valid driver’s licence.
Technical and Behavioural Competencies
The ideal candidate should have:
- Strong customer-focused communication skills.
- Excellent complaint-handling abilities.
- Good planning and job-scheduling skills.
- Workshop coordination experience.
- Proficiency in MS Office.
- Experience with Keyloop, ElsaPro, MSQP, SAP, and iPartner.
- Sound knowledge of VWGA warranty and goodwill policies.
- The ability to coordinate multiple workshop activities effectively.
- A professional, customer-focused approach.
