Job Purpose:
The Senior Fleet Scheduler is responsible for the day-to-day scheduling and coordination of cargo transport operations. The role ensures optimal allocation of vehicles and drivers to meet delivery timelines, handles real-time operational challenges (e.g., breakdowns and delays), maintains communication with clients, and manages night shift operations. The Scheduler plays a key role in ensuring compliance, efficiency, and client satisfaction across fleet activities.
Key Responsibilities:
Fleet Scheduling and Management:
Plan, supervise, and adjust daily truck schedules.
Monitor progress and ensure on-time deliveries.
Reallocate resources to handle breakdowns or urgent requirements.
Review fleet availability and report potential issues.
Conduct driver debriefings and monitor performance.
Client and Driver Communication:
Maintain communication with clients regarding delivery updates and ETAs.
Manage issues such as delays, cargo shortages, and damage reports.
Ensure client systems are updated with accurate scheduling information.
Fleet and Driver Supervision:
Supervise night shift team and address after-hours operational challenges.
Ensure drivers follow procedures, routes, and schedules.
Prioritize vehicles needing maintenance or compliance checks (e.g., C.O.F.).
Monitor and update the fleet board with truck status.
Operational Support and Administration:
Maintain accurate administrative records (fleet board, load sheets, incident reports).
Support in handling driver-related disciplinary matters.
Liaise with workshop regarding maintenance and vehicle issues.
Supervise weekend transport operations and ensure regulatory compliance.
Pallet Control and Load Management:
Track and account for pallets using the relevant systems.
Report shortages or damages to the pallet department.
Communicate with clients regarding pallet returns.
Minimum Requirements:
Education:
Matric (National Senior Certificate) – required
Relevant tertiary qualification in Logistics, Transport, or Supply Chain – advantageous
Experience:
Minimum 2 years’ experience in fleet scheduling or transport operations
Supervisory and night shift team management experience preferred
Experience in high-pressure logistics environments is highly advantageous
Skills Required:
Strong organizational and planning abilities
Excellent communication and client service skills
Ability to work under pressure and handle shift work
Sound knowledge of transport logistics and regulatory compliance
Team leadership and conflict resolution skills
Proficiency in scheduling systems and transport-related software
