Job Description
The Administrative Clerk will provide general clerical, administrative, procurement, personnel, and financial administration support within the relevant component. The successful candidates will be responsible for maintaining records, registers, filing systems, correspondence, stock, assets, personnel information, and financial documentation.
No previous work experience is required, making this an opportunity suitable for candidates with a Grade 12 qualification who are interested in developing a career in public sector administration.
Key Responsibilities
General Clerical Administration
- Provide general clerical support services.
- Record, organise, store, capture, and retrieve correspondence and data.
- Update registers and statistics.
- Handle routine enquiries.
- Make photocopies and send or receive facsimiles.
- Distribute documents and packages to relevant stakeholders.
- Maintain the component’s filing system.
- Type letters and other correspondence when required.
- Maintain incoming and outgoing document registers.
Supply Chain and Procurement Support
- Provide clerical supply chain support.
- Liaise with internal and external stakeholders regarding the procurement of goods and services.
- Obtain quotations.
- Complete procurement forms for standard office items.
- Monitor and control office stationery stock.
- Maintain the component’s asset register.
Personnel Administration
- Provide clerical personnel administration support.
- Maintain the component’s leave register.
- Maintain personnel records.
- Arrange travel and accommodation.
- Maintain the component’s attendance register.
Financial Administration
- Provide financial administration support.
- Capture and update expenditure records.
- Check the accuracy of officials’ subsistence and travel claims.
- Submit claims to the manager for approval.
- Handle telephone accounts and petty cash.
Requirements
- Grade 12 certificate or equivalent.
- No previous experience required.
