    Job Description

    The Department of Water and Sanitation is seeking a dedicated and organised Administration Clerk Production to provide comprehensive administrative and clerical support to the Hydrological Services Directorate in Bloemfontein.

    The successful candidate will be responsible for coordinating office administration, maintaining records, processing hydrological data, supporting financial and human resource administration, arranging meetings and travel, and ensuring the smooth day-to-day operation of the Directorate.

    Key Responsibilities

    • Provide general administrative support to the Hydrological Services Directorate.
    • Manage incoming and outgoing correspondence and official documents.
    • Coordinate meetings, prepare meeting logistics, record minutes, and distribute documentation.
    • Assist with compiling monthly reports and presentations.
    • Maintain and update the Directorate’s asset register.
    • Manage and maintain the Directorate’s leave register.
    • Handle telephone account administration.
    • Update hydrological information on the OSIRIS database and N-drive.
    • Assist with hydrological data processing and capture daily readings.
    • Capture and update information on the HYDSTRA system.
    • Provide financial administrative support by:
      • Requesting BAS reports.
      • Capturing Subsistence and Travel (S&T) claims.
      • Processing invoices.
      • Monitoring and updating expenditure records.
    • Liaise with internal and external stakeholders regarding the procurement of goods and services.
    • Verify the accuracy of travel and subsistence claims before submission for approval.
    • Coordinate document flow between the Director’s office, other Directorates, and the Provincial Head’s office.
    • Assist with travel arrangements for the Director.
    • Provide administrative support for personnel matters, including scanning, filing, and submitting documentation to Human Resources.

    Minimum Requirements

    Applicants must have:

    • Grade 12 (Senior Certificate) or an equivalent qualification.
    • Previous administrative experience will be an added advantage.
    • Basic understanding of the Batho Pele Principles.
    • Basic knowledge of Microsoft Excel, Word, and PowerPoint.
    • Knowledge of clerical functions and administrative practices.
    • Ability to capture data, operate a computer, and compile administrative statistics.
    • Basic knowledge of Human Resources prescripts.
    • Knowledge of the legislative framework governing the Public Service.
    • Understanding of office procedures and administrative processes.
