Job Description
The Financial Administrator is responsible for managing the day-to-day financial administration of the campus, ensuring that all financial transactions are accurately recorded, reconciled, and processed according to company policies and procedures. The role supports campus financial operations, student account administration, cash management, and financial reporting.
The successful candidate will work closely with students, account payers, debtors, and campus management to ensure efficient financial administration and excellent service delivery.
Key Responsibilities
Financial Administration
- Record daily financial transactions accurately.
- Capture receipts and payments into the appropriate ledger accounts.
- Maintain accurate financial records and supporting documentation.
- Ensure compliance with campus financial policies and procedures.
Cash Management
- Assist with cash sales collections.
- Perform daily cash-up procedures.
- Process daily banking of receipts electronically and on-site.
- Reconcile cash received against recorded transactions.
- Ensure accurate handling of cash and financial documentation.
Student Account Administration
- Provide account statements to students and account payers upon request.
- Assist students and account payers with account-related queries.
- Direct unresolved debtor-related matters to the National Debtors Department.
- Support student account management processes.
Refund Administration
- Process refund requests according to institutional procedures.
- Collect and verify required supporting documentation.
- Upload documentation onto cheque-tracking systems.
- Obtain required approvals and authorisations.
Billing and Debtors Support
- Process monthly billing of sundry cash receipts.
- Assist with debtor-related administrative functions.
- Prepare handover files when required by Central Debtors.
- Assist with student card suspension processes when required.
Reporting and Record Keeping
- Maintain accurate financial records and filing systems.
- Generate financial reports as required.
- Support audit and compliance requirements.
- Ensure data integrity and accuracy.
Minimum Requirements
Qualifications
- Higher Certificate in Accounting or Finance.
- Diploma in Accounting (preferred).
Experience
- 1–2 years’ experience as a Financial Administrator.
- Experience within a higher education institution will be advantageous.
