    Job Overview

    The Department of Agriculture is inviting applications for the position of Administration Clerk within the Directorate: Inspection and Quarantine Services in Bloemfontein.     The successful candidate will provide comprehensive administrative and clerical support across various functions, including records management, finance, procurement, human resources, transport administration, and general office support to ensure the efficient operation of the directorate.

    Key Responsibilities

    The successful candidate will be responsible for:

    General Administration

    • Provide general clerical and administrative support.
    • Record, organise, capture, store, and retrieve correspondence and data.
    • Update registers, databases, and statistical information.
    • Maintain filing systems and document registers.
    • Prepare reports, memoranda, and submissions.
    • Provide reception and switchboard services and respond to routine enquiries.
    • Handle incoming and outgoing mail, courier packages, and facsimiles.
    • Monitor photocopier usage, arrange repairs, and report building maintenance issues.
    • Draft meeting agendas, take minutes, and coordinate meetings, travel, and accommodation arrangements.
    • Maintain the component’s Key Control Register.

    Supply Chain Administration

    • Provide procurement and supply chain administrative support.
    • Obtain quotations and prepare procurement documentation.
    • Manage stock control for office stationery, cleaning materials, uniforms, assets, and inventory.
    • Maintain the asset register.
    • Assist with asset verification, movement, disposal, and loss control reporting.

    Human Resources Administration

    • Process leave applications and maintain leave registers.
    • Maintain personnel files and attendance registers.
    • Handle HR-related enquiries including appointments, leave, PMDS, performance agreements, and terminations.
    • Assist employees with human resource procedures.
    • Submit training documentation and maintain training records.

    Financial Administration

    • Assist with budget administration and expenditure tracking.
    • Process payments for goods and services.
    • Administer Subsistence and Travel (S&T) claims and advances.
    • Maintain petty cash and telephone account records.
    • Verify overtime, cellphone, and 5G applications.
    • Generate invoices and perform invoice reconciliations.
    • Manage courier account payments and reconciliations.

    Transport Administration

    • Coordinate the allocation and utilisation of government vehicles.
    • Issue trip authorisations, petrol cards, and garaging applications.
    • Verify driver’s licences before vehicle allocation.
    • Arrange vehicle servicing, maintenance, and repairs.
    • Maintain vehicle logbooks and transport records.
    • Process accident reports, loss reports, and transport-related documentation.
    • Coordinate official travel and accommodation.

    Minimum Requirements

    Applicants must have:

    • Grade 12 (Matric) certificate.
    • No previous experience required.
