Purpose of the Role
To perform the full administrative function related to lease preparation, conclusion, tenant management, arrears control, and property data maintenance — ensuring the smooth, accurate operation of the Property Management division.
Key Responsibilities
1. Tenant Administration
Load and update tenant details on the PIMS system
Manage tenant statements and processes:
Receipt allocations from bank statements
Expiry tracking and interest generation
Manual billings, adjustments, recoveries
Lease billings and debit runs
Finalize statements and debit orders
Handle tenant turnover and finalize vacated tenant accounts (including deposit refunds)
Resolve tenant queries efficiently
2. Lease Administration
Obtain credit checks and FICA documentation
Prepare and process Lease Input Summaries (LIS)
Capture leases on the PIMS system and update the lease register
Liaise with the Leasing Department to ensure contract accuracy
Manage annual municipal and rates increases
3. Arrears Administration
Follow up on outstanding tenant payments
Maintain and update arrears reports
Use TPN credit control services for arrears management
Prepare handovers to the Legal Credit Controller when necessary
4. Property Administration
Maintain property and unit data on PIMS
Notify utility companies of tenant changes and monthly accruals
Manage parking schedules and access disc allocations
Process municipal and other property-related invoices
Perform account reconciliations
Compile and consolidate monthly management reports

Qualifications & Experience
Minimum: Grade 12 (Matric)
Preferred: Relevant diploma (e.g., Property Management, Accounting, or Business Administration)
Experience:
At least 5 years in a Property Administrator role
Strong financial accounting background
Customer service and property leasing experience
Proficiency in PIMS or MDA systems
Advanced skills in Microsoft Office (Excel, Word, Outlook)
Body Corporate or Sectional Title administration experience advantageous
