     Job Description

    The POD Clerk is responsible for ensuring accurate, complete, and timely processing of all Proof of Delivery documentation. This role supports logistics and operations by coordinating driver documentation, capturing PODs, liaising with clients, and maintaining accurate administrative records.

    The POD Clerk manages all administrative tasks related to Proof of Delivery (POD) documents, driver trip sheets, invoices, and client queries. The role involves communication with drivers, clients, and internal operations to ensure complete and accurate documentation of deliveries.

    Key Responsibilities

    Document Management

    • Retrieve, sort, and filter all incoming post documentation.

    • Collect order requests from clients and operations teams, ensuring all load documents are properly attached, signed, stamped, and include GRV and AOD numbers.

    • Maintain accurate filing systems, POD lists, and monthly report updates.

    Driver & Fleet Coordination

    • Communicate with drivers daily to obtain PODs, delivery notes, and trip sheets.

    • Ensure timely retrieval of outstanding PODs for all assigned clients.

    • Verify document completeness and address discrepancies.

    Client Liaison

    • Serve as the point of contact for allocated clients regarding PODs, queries, and document issues.

    • Resolve client concerns promptly and professionally.

    • Ensure proper documentation is available for invoicing and internal processing.

    Scanning & Archiving

    • Scan all completed invoices and securely store them on the company’s digital server.

    • Maintain accurate, organised, and secure document archives.

    Key Skills & Requirements 

    Minimum Qualifications

    • Grade 12 (Matric).

    • 1 year experience in a POD/admin/logistics documentation role.

    Technical Skills

    • Intermediate Excel proficiency.

    • Strong Microsoft Office skills (Outlook, Word, Excel).

    • Strong administrative and organisational abilities.

    • Document control & filing accuracy.

    Soft Skills

    • Good interpersonal and communication skills.

    • Bilingual: English & Afrikaans.

    • Ability to work under pressure and meet deadlines.

    • Strong attention to detail.

    • Ability to work independently and in a team environment.

    • Quality-driven mindset.
