    Job Overview

    The Assistant Director: Logistics will coordinate and review the processing of requisitions for goods and services and oversee the ordering and acquisition of required goods.

    The role also involves receiving, checking, storing and distributing goods, processing relevant documentation and ensuring that supply chain records are properly controlled and safeguarded.

    As a supervisory position, the successful candidate will manage staff, monitor performance, provide guidance and ensure that employees are trained and developed to deliver work efficiently and effectively.

    Key Responsibilities

    Requisition and Procurement Logistics

    • Coordinate and review the processing of requisitions for goods and services.
    • Receive and process requisitions.
    • Coordinate the placement of orders for required goods and services.
    • Place orders for services when required.
    • Order and acquire goods that are not store items or are unavailable in stock.
    • Ensure that requisitions and orders are processed accurately and efficiently.
    • Ensure compliance with applicable procurement procedures.

    Safekeeping and Distribution of Goods

    • Receive and check delivered goods.
    • Capture goods on the relevant procurement system.
    • Return damaged, incorrect or substandard goods.
    • Issue goods as required.
    • Ensure appropriate safekeeping and distribution of departmental goods.
    • Prepare and collate payment documentation.
    • Maintain proper records relating to goods received and distributed.

    Staff Supervision

    • Provide general supervision of employees within the logistics function.
    • Allocate duties and responsibilities to supervisees.
    • Conduct quality control on work delivered by employees.
    • Provide advice and guidance on all aspects of their work.
    • Manage employee performance, conduct and discipline.
    • Ensure that employees receive appropriate training and development.
    • Support employees in achieving the required work standards.
    • Develop and maintain effective work systems and processes.

    Financial and Human Resource Administration

    • Undertake administrative functions relating to financial and human resource management.
    • Support effective management of departmental resources.
    • Monitor the use of human, financial and asset resources.
    • Ensure that resources are used efficiently and responsibly.

    Supply Chain Documentation

    • Control and safeguard all Supply Chain Management documentation.
    • Ensure that logistics records are properly maintained.
    • Promote accurate and complete documentation throughout the logistics process.
    • Ensure that documentation is available for monitoring, reporting and audit purposes.

    Minimum Requirements

    Applicants must have:

    • An appropriate Degree at NQF Level 7 in one of the following fields:
      • Supply Chain Management;
      • Logistics Management;
      • Public Management; or
      • Public Administration.
    • At least 3 years’ related logistics management experience at supervisory level.
    • Knowledge of the LOGIS system.
    • Knowledge of the Public Finance Management Act (PFMA).
    • Knowledge of the SCM Regulatory Framework.
    • Knowledge of all relevant prescripts governing procurement within the Public Service.
    • Computer literacy.
    • A valid driver’s licence.

    • Knowledge of LOGIS and related procurement systems.

    • Ability to manage documentation and records effectively.
    • Strong problem-solving skills.
    • Ability to implement and monitor work processes.
