Purpose of the Role
To manage and build strong relationships with regional fleet customers while ensuring that all operational, contractual, and compliance-related obligations are met. The role focuses on customer service, revenue protection, operational efficiency, and adherence to Service Level Agreements (SLAs).
Key Responsibilities
Finance & Revenue Management
Ensure accurate billing of all leased units through monthly CIS checks.
Identify revenue-generating opportunities within existing customer contracts.
Reduce debtor aging—ensure no invoices exceed 60 days.
Ensure all GRVs are issued for outstanding invoices.
Customer Centricity & Relationship Management
Deliver excellent customer service and maintain strong client relationships.
Ensure accurate, timely reporting in line with contract requirements.
Log customer engagements on CRM tools.
Conduct compulsory monthly business reviews.
Ensure 95% SLA achievement by engaging with internal teams.
Resolve escalated queries quickly and acknowledge all customer communication within 8 hours.
Maintain up-to-date customer information (KYC).
Resolve all customer queries and complaints within required timelines.
Operational Excellence
Vehicle Replacement & Fleet Operations
Manage the full Vehicle Replacement Program:
Timeous quoting and customer consultations.
Ensure correct asset specifications and accurate approvals.
Process quotes to procurement without delays.
Upload RFQs on the MS Teams tool.
Monitor and manage order status, vehicle ETA, and delivery.
Provide accurate quotes within a 5-day SLA.
Contract & Utilization Management
Submit all reports on time.
Assist clients with fleet utilization and restructuring.
Facilitate ad-hoc requests.
Prevent STR extensions over 12 months.
Support internal teams (including MMU) with outstanding POs.
Compliance & Licensing
Obtain BRN/Proxy documents quarterly.
Ensure all license discs are delivered before expiry.
Manage odometer readings and present monthly odo files for variable billing.
Learning, Development & Team Contribution
Maintain an up-to-date Personal Development Plan (PDP).
Meet all training requirements.
Contribute positively to team goals and productivity.
Identify personal and operational training needs.
Promote employee satisfaction and engagement.
Minimum Requirements
Qualifications
Matric with fleet administrative experience (Essential).
Fleet Management Diploma (Ideal).
Marketing or Sales Diploma/Degree (Advantageous).
Experience
3–5 years’ experience in the Fleet industry, preferably in a Leasing environment.
Knowledge of the Road Traffic Act.
Prior client relationship management experience.
