Tender Overview
The Department of Public Works and Infrastructure invites qualified service providers to submit quotations for the provision of comprehensive cleaning services at the Ventersburg Magistrate Office for a period of 36 months.
The appointed contractor will be responsible for maintaining a clean, hygienic, and safe working environment by providing professional cleaning services, labour, equipment, cleaning materials, consumables, and supervision in accordance with contractual requirements and health and safety regulations.
Scope of Work
The successful bidder will be responsible for cleaning and maintaining:
- Offices and workspaces
- Reception and entrance areas
- Meeting rooms
- Hallways and corridors
- Kitchens and kitchenettes
- Toilets and ablution facilities
- Windows (interior and exterior)
- Doors and blinds
- Furniture and office equipment
- Various floor surfaces
- Elevators
- Open and common areas
- Any other designated areas within the Magistrate Office
Key Responsibilities
The appointed service provider will:
- Perform daily, weekly, and monthly cleaning services according to the specifications.
- Supply all cleaning staff required for the contract.
- Provide all cleaning equipment, machinery, and tools.
- Supply approved cleaning chemicals and consumables.
- Maintain cleaning equipment in good working condition.
- Supervise cleaning personnel and ensure service quality.
- Conduct quality inspections and submit required reports.
- Comply with Occupational Health and Safety (OHS) legislation.
- Provide Personal Protective Equipment (PPE) for cleaning staff.
- Conduct risk assessments and incident reporting where necessary.
- Attend site inspections and contract meetings.
- Ensure compliance with labour legislation and minimum wage requirements.
Equipment and Consumables
The successful contractor must provide:
- Cleaning machinery and equipment.
- High-rise window cleaning equipment.
- Carpet cleaning machines.
- Cleaning chemicals and detergents.
- Toilet paper and hygiene consumables.
- Disinfectants and sanitisers.
- Personal Protective Equipment (PPE).
- Safety signage and warning notices.
Technical Requirements
Bidders must demonstrate the ability to:
- Deliver cleaning services according to the required service standards.
- Supply and maintain all cleaning equipment and machinery.
- Implement quality control and supervision systems.
- Comply with health, safety, environmental, and labour legislation.
- Manage cleaning personnel effectively.
- Maintain accurate reporting and contract compliance.
Minimum Skills and Qualification Requirements
Interested bidders should have:
- Proven experience providing cleaning services to government departments or similar institutions.
- Experienced supervisory staff.
- Knowledge of cleaning equipment and machinery operation.
- Knowledge of Occupational Health and Safety (OHS) legislation.
- Ability to supply SABS-compliant cleaning materials and safety equipment.
- Capacity to recruit, supervise, train, and replace staff when necessary.
- Experience with quality assurance and contract reporting.
