Key Responsibilities of the POPIA Officer:
The POPIA Officer will assist in the overall implementation and management of the POPIA project at UFS. Some of the key duties and responsibilities of the position include:

Assessing and evaluating the feedback from the implementation of POPIA.

Supporting the POPIA Forum and Project Manager(s) to complete outstanding tasks related to the implementation of the POPIA project.

Assisting with the coordination of the project implementation phases and compliance monitoring.
-
Supporting the POPIA Forum to ensure effective and smooth rollout of the project.
-
Helping to implement the POPIA management system within UFS.
-
Identifying and managing risks related to POPIA compliance, including conducting risk assessments.

Providing regular updates on the status of POPIA implementation to stakeholders.
-
Overseeing administrative activities related to POPIA management, including documentation.
-
Handling data breaches and complaints, maintaining a log of incidents.
-
Managing financial processes, such as tracking payments, creating requisitions, and ensuring compliance with budgeting requirements.
-
Preparing reports, presentations, and handling confidential information discreetly.
The role requires someone with strong attention to detail, the ability to work under pressure, and the capability to meet deadlines while managing multiple tasks. Additionally, the successful candidate will need to demonstrate strong leadership, communication, and organizational skills.
Inherent Requirements:
To qualify for this role, candidates must meet the following essential requirements:

Educational Requirements:

A Professional Bachelor’s Degree on NQF Level 8 in Law, or a Bachelor’s Degree/Advanced Diploma/BTech Degree in Information and/or Communication Science, Compliance, Risk Management, or a related field at NQF Level 7.

Experience:

A minimum of three (3) years’ experience in a POPIA, Risk Management, ICT, or similar environment.

At least two (2) years’ experience in a management or supervisory capacity.

Recommended Qualifications:
While not essential, the following are considered advantageous:

Experience in the Higher Education sector.

Knowledge of university systems, policies, and procedures.
-
Understanding of POPIA, risk management, and governance.

Exposure to POPIA implementation projects.
