    Property Administrator – Bloemfontein

    Purpose of the Role

    To perform the full administrative function related to lease preparation, conclusion, tenant management, arrears control, and property data maintenance — ensuring the smooth, accurate operation of the Property Management division.

    Key Responsibilities

    1. Tenant Administration

    Load and update tenant details on the PIMS system

    • Manage tenant statements and processes:

      • Receipt allocations from bank statements

      • Expiry tracking and interest generation

      • Manual billings, adjustments, recoveries

      • Lease billings and debit runs

      • Finalize statements and debit orders

    • Handle tenant turnover and finalize vacated tenant accounts (including deposit refunds)

    • Resolve tenant queries efficiently

    2. Lease Administration

    • Obtain credit checks and FICA documentation

    • Prepare and process Lease Input Summaries (LIS)

    • Capture leases on the PIMS system and update the lease register

    • Liaise with the Leasing Department to ensure contract accuracy

    • Manage annual municipal and rates increases

    3. Arrears Administration

    • Follow up on outstanding tenant payments

    • Maintain and update arrears reports

    • Use TPN credit control services for arrears management

    • Prepare handovers to the Legal Credit Controller when necessary

    4. Property Administration

    • Maintain property and unit data on PIMS

    • Notify utility companies of tenant changes and monthly accruals

    • Manage parking schedules and access disc allocations

    • Process municipal and other property-related invoices

    • Perform account reconciliations

    • Compile and consolidate monthly management reports

    Qualifications & Experience

    • Minimum: Grade 12 (Matric)

    • Preferred: Relevant diploma (e.g., Property Management, Accounting, or Business Administration)

    Experience:

      • At least 5 years in a Property Administrator role

      • Strong financial accounting background

      • Customer service and property leasing experience

      • Proficiency in PIMS or MDA systems

      • Advanced skills in Microsoft Office (Excel, Word, Outlook)

      • Body Corporate or Sectional Title administration experience advantageous
