Job Description
The Office Manager is responsible for managing and coordinating the Office of the President of the Supreme Court of Appeal. The role combines executive office management, legal administration, stakeholder coordination, supervision of support staff, legal research support, and court administration.
The successful candidate will ensure the smooth functioning of the President’s Office by managing correspondence, appointments, research activities, staff supervision, petitions, and administrative processes while ensuring compliance with legal and judicial protocols.
This is a senior administrative and supervisory role within the judiciary that requires strong organizational, communication, research, and people management skills.
Key Responsibilities
Executive Office Management
- Manage the Office of the President of the Supreme Court of Appeal.
- Attend to and record enquiries directed to the President.
- Monitor and track assignments, enquiries, deadlines, and directives.
- Ensure timely completion of all tasks and correspondence.
- Manage appointments, meetings, and official events.
Administration and Compliance
- Ensure correct application of policies, regulations, directives, and legal requirements.
- Coordinate administrative processes within the President’s Office.
- Maintain accurate records and documentation.
- Ensure adherence to court procedures and administrative standards.
Stakeholder Liaison
- Liaise with internal and external stakeholders.
- Facilitate communication between the President’s Office and relevant parties.
- Coordinate interactions with judicial officers, legal practitioners, and government stakeholders.
- Manage professional relationships on behalf of the President’s Office.
Correspondence Management
- Manage incoming and outgoing correspondence.
- Review documents before submission to stakeholders.
- Ensure correspondence is processed efficiently and accurately.
- Monitor follow-ups and responses.
Legal Research Support
- Conduct and coordinate legal research.
- Retrieve legal material from physical and electronic library resources.
- Assist with sourcing case law, legislation, and legal references.
- Support judicial research activities.
Judgment Review and Quality Assurance
- Review research submitted by Law Researchers.
- Proofread judgments and legal documents.
- Perform citation checks on judgments.
- Ensure accuracy and consistency of legal references.
Staff Management and Supervision
- Supervise judges’ secretaries and support staff.
- Manage staff performance and productivity.
- Identify training and development needs.
- Coordinate formal and informal training initiatives.
- Ensure effective allocation of duties and responsibilities.
Court Operations Coordination
- Supervise court sitting arrangements.
- Manage tea room and administrative support duties.
- Ensure smooth operational support during court proceedings.
- Coordinate support services for judges.
Petition Management
- Receive petitions filed with the court.
- Draft comprehensive summaries of petitions.
- Identify key case information, including:
- Parties involved
- Case numbers
- Area of law
- Maintain records of petitions received.
- Compile and submit petition reports to the Chief Registrar.
Reporting and Record Management
- Maintain spreadsheets and tracking systems.
- Prepare reports and administrative summaries.
- Monitor workflow and compliance requirements.
- Support executive decision-making through accurate reporting.
Minimum Requirements
Educational Qualifications
Essential
- Three-year National Diploma, Bachelor’s Degree, or equivalent qualification at NQF Level 6 in:
- Office Administration
- Office Management
- LLB (Bachelor of Laws)
- Related qualification recognized by SAQA
Experience
Essential
- Minimum 3 years’ relevant experience in an office administration environment.
- At least 1 year of supervisory experience.
Advantageous
- Legal research experience (post-qualification).
- Experience within the legal, judicial, or court environment.
- Experience supporting senior executives or judicial officers.
