Job Purpose
Provide administrative and operational support to the Operations Data Admin Manager. Assist with the development, documentation, and maintenance of operational reports and Standard Operating Procedures (SOPs). Capture, process, and analyse operational data using company systems. Support production planning, reporting, inventory administration, and office operations. Ensure accurate, timely, and reliable operational data to support decision-making within the abattoir.
Key Responsibilities
Administrative Support
- Prepare presentations, proposals, reports, and data analyses as required.
- Compile, edit, review, and maintain Standard Operating Procedures (SOPs) and other operational documents.
- Coordinate daily office activities to ensure efficiency and compliance with company procedures.
- Perform general office administration, including:
- Filing documents.
- Answering telephone calls.
- Sending and receiving emails.
- Preparing administrative documents.
- Provide administrative support to the Operations and Management teams.
CHEP Administration
- Correspond with suppliers and customers regarding CHEP-related disputes.
- Manage CHEP administration, ordering, and inventory control.
- Utilize the CHEP Management System for inventory tracking and reporting.
Production Planning
- Assist with planning daily production schedules for:
- Fresh products.
- Frozen products.
- Communicate production information with customers.
- Liaise with the Sales, Dispatch, and Processing teams to ensure production requirements are met.
Data Management and Reporting
- Collect operational and technical information for reporting purposes.
- Capture and update operational data accurately.
- Compile operational reports required by management.
- Analyse data using tables, graphs, and statistical information.
- Prepare customized reports to support operational decision-making.
- Maintain accurate production and operational records.
General Duties
- Perform additional duties assigned by the Line Manager.
- Support continuous improvement initiatives within the department.
- Assist in maintaining efficient office operations.
- Take responsibility for office operations in the absence of the Department Manager.
Minimum Requirements
- Grade 12 (Matric) or NQF Level 4 equivalent.
- 2–5 years’ experience in administration and/or data capturing.
- Some supervisory experience.
- Computer literacy with demonstrated proficiency in:
- Microsoft Excel.
- Microsoft Word.
- Microsoft Outlook.
- Willingness to work overtime and weekends when operationally required.
Recommended Qualifications and Experience
- Certificate or Diploma in Office Administration.
- Previous administration experience within an abattoir or agricultural environment.
- Working knowledge of:
- Avihance.
- Microsoft Dynamics NAV (NAV).
- Aavocet.
- M-Query.
- Experience with production reporting and operational data management.
