Job Purpose
The Academic Operations Administrator is responsible for maintaining student records and supporting academic administration processes. The role includes assessment administration, attendance capturing, document management, records management, student support, and assisting academic staff to ensure smooth campus operations.
Key Responsibilities
Student Records Administration
- Maintain and update student records.
- Capture and manage student information accurately.
- Ensure records are complete and up to date.
Assessment Administration
- Assist with assessment cycles and assessment-related administration.
- Collect and process assessments.
- Record and capture student marks.
- Import assessment results into relevant systems.
Attendance Administration
- Capture and maintain student attendance records.
- Manage class registers and attendance documentation.
Document Management
- File and maintain academic documentation.
- Ensure proper record-keeping practices.
- Support archiving and retrieval of documents.
Administrative Support
- Assist with general academic administrative duties.
- Resolve administrative queries.
- Ensure compliance with operating procedures.
- Support management and academic staff with administrative requirements.
Storeroom and Archive Management
- Manage academic records storage.
- Maintain filing systems and archives.
- Ensure secure handling of institutional records.
Campus Support Activities
Assist with:
- Student registrations
- Student orientation programmes
- Open Days
- Internal audits
- External audits
- Graduation ceremonies
- General campus events
Student and Stakeholder Support
- Respond to student queries.
- Provide excellent customer service.
- Ensure queries are resolved within agreed timelines.
Minimum Requirements
Qualifications
- Bachelor’s Degree in:
- Administration, or
- A related field
Experience
- Administrative experience.
- Client service/customer service experience.
- Experience within an educational institution is required.
