    Main Purpose of the Position

    To provide data administration, system support, user training, and technical assistance for the implementation and effective use of the eCares system across districts and Early Childhood Development (ECD) service providers. The role focuses on improving data quality, supporting system users, and strengthening ECD information management processes to support planning, monitoring, and funding decisions.

    Key Responsibilities

    1. User Support and System Administration

    • Provide first-line support to district officials and ECD service providers.
    • Assist users with:
      • System navigation
      • Data capturing
      • Document uploads
      • Enrolment updates
      • Password and access issues
      • General troubleshooting
    • Monitor system usage and identify user support needs.
    • Escalate unresolved technical issues to provincial or national support teams.

    2. Training and Capacity Building

    • Facilitate training sessions on the eCares system.
    • Provide practical coaching and mentoring to users.
    • Develop user confidence and improve system adoption.
    • Assist with training materials and user guides.
    • Support change management and system implementation initiatives.

    3. Data Management and Quality Assurance

    • Verify and maintain ECD information within the system.
    • Monitor the completeness and accuracy of submitted data.
    • Identify and correct data quality issues.
    • Ensure timely capturing and updating of records.
    • Support compliance with data management standards.

    4. Data Analysis and Reporting

    • Conduct intermediate-level data analysis.
    • Identify:

      • Data gaps

      • Performance indicators
    • Compile reports to support:
      • Operational planning
      • Monitoring and evaluation
      • Funding processes
      • Decision-making
    • Present findings clearly to management and stakeholders.

    • Engage with district officials and ECD centres.
    • Provide guidance on system requirements and procedures.
    • Communicate technical information in a user-friendly manner.
    • Build positive working relationships with stakeholders.

    6. Continuous Improvement

    • Gather feedback from users regarding system performance and training needs.
    • Recommend improvements to support and training approaches.
    • Promote effective data use and accountability practices within ECD programmes.
    • Contribute to improved system implementation and service delivery outcomes.

    7. Provincial Support and Field Visits

    • Travel to districts when required.
    • Conduct on-site support visits to ECD centres and district offices.
    • Monitor system implementation and provide practical assistance.
    • Support provincial rollout activities and user engagement initiatives.

    Minimum Requirements

    Educational Qualification

    Applicants must possess a relevant post-school qualification in one of the following fields:

    • Information Systems
    • Education
    • Data Analysis
    • Public Administration
    • Information Management
    • Business Information Systems
    • Management Information Systems
    • Statistics
    • Computer Science
    • Or another related field

    Knowledge and Experience

    Candidates should demonstrate:

    Information Systems Experience

    Training and User Support Experience
