Job Description
The Administrator: Service Advisor (Non-Technical) is responsible for providing excellent customer service and administrative support within the dealership’s service department. The successful candidate will coordinate service appointments, communicate with customers, prepare service documentation, support technicians, and ensure efficient day-to-day service operations.
Key Responsibilities
Customer Service
- Welcome customers and assist with booking service appointments.
- Communicate service recommendations and estimated costs to customers.
- Respond to customer enquiries professionally via telephone and other communication channels.
- Deliver exceptional customer service throughout the service process.
Administrative Support
- Prepare work orders accurately.
- Process billing and invoicing.
- Maintain and update customer records.
- Record and update vehicle service history.
Service Coordination
- Liaise with technicians to ensure timely completion of repairs and services.
- Coordinate with the Parts Department to ensure required parts are available.
- Monitor service progress and assist with workflow coordination.
Inventory Support
- Assist with inventory management.
- Support the ordering of parts and workshop supplies.
Team Support
- Provide administrative assistance to Service Managers.
- Support other team members as required.
- Contribute to the smooth operation of the service department.
Minimum Requirements
Applicants must have:
- Grade 12 (Matric) or an equivalent qualification.
- Previous experience in customer service or administration (preferred).
- Strong communication and interpersonal skills.
- Ability to work independently and within a team.
- Proficiency in Microsoft Office applications.
- Strong attention to detail.
- Accurate data capturing skills.
- Ability to manage multiple tasks and prioritise effectively.
