Job Description
The Provisioning Administration Clerk: Production is responsible for supporting stores and inventory management functions within the hospital. The role includes receiving and issuing stock, maintaining inventory records, ordering equipment, monitoring stock levels, ensuring proper storage practices, and performing general administrative and record management duties in accordance with Department of Defence policies and procedures.
Key Responsibilities
Stores and Inventory Management
- Manage the daily operations of the hospital stores.
- Execute logistics plans, policies, and internal procedures as prescribed by Headquarters.
- Maintain accurate records of all equipment stored.
- Receive incoming stock and verify it against receipt vouchers.
- Capture stock transactions on the main ledger.
- Issue equipment using authorised issue vouchers through the Transito system.
- Monitor stock levels and place orders when stock reaches minimum levels.
- Ensure stores are organised and prepared for stock-taking.
- Dispose of obsolete or unnecessary stock according to prescribed procedures.
- Update and maintain stock control registers.
Equipment Management
- Ensure unserviceable equipment is transferred to the designated unserviceable store.
- Monitor the distribution and movement of equipment.
- Maintain accountability for all stock and equipment.
Administration
- Perform general administrative duties.
- Distribute incoming correspondence to relevant sections.
- Maintain proper filing and archiving systems according to departmental prescripts.
- Assist with record management and documentation.
Minimum Requirements
Applicants must have:
- Grade 12 (NQF Level 4) or an equivalent qualification.
- No previous work experience is required.
Required Knowledge
Applicants should have knowledge of:
- Clerical and administrative procedures.
- Stores and inventory administration.
- Data capturing and record management.
- Public Service legislative framework.
- Administrative procedures within the working environment.
