Job Description
The University of the Free State is seeking a Senior Officer: Coordinator: Associations and Organisations to coordinate and support the effective functioning, development and governance of Student Associations and Organisations.
The successful candidate will oversee student association operations, coordinate registration and recognition processes, support student governance elections, facilitate student engagement and leadership development programmes, and provide guidance on governance, compliance, project management and financial administration.
The position will also be responsible for monitoring student-led projects and activities, coordinating training programmes, maintaining accurate records, preparing reports and promoting accountability, transparency and ethical leadership within student governance structures.
Responsibilities
Operational and Strategic Support
- Oversee the operations, programmes and activities of Student Associations and Organisations.
- Develop and implement annual operational plans.
- Coordinate the annual registration and recognition processes.
- Develop and maintain electronic recordkeeping and filing systems.
- Review and implement relevant policies, guidelines and concept documents.
- Coordinate and participate in student governance election processes.
- Provide operational and administrative support to the Student Governance Office.
Student Engagement and Communication
- Plan and implement student engagement and developmental programmes.
- Educate student organisations on institutional policies and governance frameworks.
- Facilitate collaboration between student organisations, university departments and external stakeholders.
- Coordinate campus student parliament sessions and related logistics.
- Promote student association activities through university communication platforms.
- Identify and communicate leadership development opportunities.
- Coordinate meetings with executive committees and provide guidance and strategic support.
Project Monitoring and Support
- Monitor and evaluate student association projects and activities.
- Provide project management and logistical support for student-led programmes and events.
- Advise student organisations on procurement and financial administration procedures.
- Monitor annual activity plans and strategic calendars.
- Identify implementation challenges and provide appropriate support.
Training and Development
- Coordinate inductions, workshops, leadership development programmes and strategic planning sessions.
- Develop and monitor mentoring and support programmes.
- Ensure student organisations understand relevant legislation, institutional rules and governance frameworks.
- Develop and update training manuals, guidelines and learning materials.
Compliance and Governance
- Monitor compliance with the Higher Education Act, Institutional Statute, ISRC Constitution, Institutional Rules, General Rules and applicable UFS policies.
- Monitor compliance with institutional branding, communication and marketing standards.
- Develop and implement a Code of Conduct for Student Associations and Organisations.
- Promote good governance, accountability, transparency and ethical leadership.
Financial Management
- Prepare and monitor annual operational budgets.
- Guide student organisations in developing plans aligned with approved budgets.
- Process requisitions and monitor expenditure in line with UFS financial policies.
- Compile and review financial reports.
Reporting and Administration
- Compile operational and strategic reports on student organisation activities.
- Provide guidance on minute-taking, report writing and record management.
- Develop, standardise and regularly update reporting templates.
