    Job Description

    The Sales Admin Supervisor will be responsible for managing and optimizing the end-to-end sales administration process for the Bloemfontein Bakery. This includes leading the telesales team, ensuring 100% order accuracy, finalizing daily production orders, maintaining strict administrative controls, safeguarding data integrity in the DRM system, and producing timely and accurate sales reports to support decision-making across Sales, Production, and Distribution.

    Key Responsibilities

    1. Telesales & Order Management

    • Lead, schedule, and coach the telesales team, running daily huddles aligned to service targets.

    • Ensure all customer orders, changes, and cancellations are captured accurately and timeously.

    • Validate pricing, discounts, delivery days, and route allocations prior to order release.

    • Resolve order queries and escalate demand spikes or short-supply issues promptly.

    2. Production Order Finalization

    • Reconcile final orders versus forecasts and production capacity.

    • Lock and release the daily production order on time.

    • Communicate final mix/volume adjustments to Production, Dispatch, and Distribution.

    • Track and analyze variances between forecast, plan, and actual performance.

    3. Controls, Governance & Audit Readiness

    • Enforce strict controls on pricing, order amendments, returns, and documentation completeness.

    • Maintain audit-ready records and run weekly control checks.

    • Monitor credit risks and ensure full compliance with company policies.

    4. Master Data Management (DRM)

    • Manage and maintain customer, route, delivery, and trading-term data in DRM.

    • Conduct regular data integrity checks and prevent duplicate or outdated entries.

    • Provide first-line support for DRM issues and ensure team compliance with standards.

    5. Reporting & Analytics

    • Create and automate reports for daily, weekly, and monthly business reviews.

      • Daily: Order accuracy %, service levels, capacity utilization, returns/spoils flags.

      • Weekly: Volume and pricing trends, customer gains/losses, route and depot performance.

      • Monthly: Sales vs. target, margin and mix analysis, control exceptions, data quality.

    • Distribute reports to relevant departments and proactively highlight risks or opportunities.

    6. People Leadership

    • Set KPIs and conduct regular coaching sessions and performance reviews.

    • Foster a culture of accuracy, urgency, and customer focus.

    • Manage attendance, shift coverage, and team development.

    7. Stakeholder Management

    • Liaise daily with Production Planning, Dispatch, Distribution, Finance, DRM, and Depot Managers.

    • Communicate supply issues, substitutions, and recovery plans with Sales and key customers.

    Key Performance Indicators (KPIs)

    • Order accuracy % and order amendment rate

    • On-time order processing and cut-off compliance %

    • Production order release timeliness

    • Plan vs. bake and bake vs. dispatch variance

    • Pricing and discount approval turnaround

    • DRM data integrity score

    • Report accuracy and timeliness

    • Telesales quality assurance and team performance

    Qualifications, Skills & Experience

    Minimum Requirements

    • Diploma or Degree in Business Administration, Sales Management, Supply Chain, or related field

    • 3–5 years sales administration, telesales, or order management experience (FMCG/bakery preferred)

    • 1–2 years supervisory experience in a high-volume environment

    • Proficiency in Microsoft Excel (pivot tables, lookups; Power BI advantageous)

    • Experience with DRM systems, ERP (SAP), and CRM/telephony tools

    • 3 years’ FMCG sales or selling experience

    • Valid Code 10 driver’s license and Public Driver’s Permit (PDP)

    • Certified Defensive Driver certification
