Job Description
The purpose of this role is to provide efficient and professional administrative support to the sales and service team, while maintaining an accurate and up-to-date client database. The role is critical in ensuring seamless customer interactions, operational accuracy, and data integrity in alignment with Metrofile’s service excellence goals.
Key Responsibilities

Maintain regular telephonic contact with a set portfolio of clients to update records and foster service growth

Accurately capture and update client information in the Metrofile system
-
Extract service data and generate reports for sales and service needs
-
Prepare index reports and handle ad hoc reporting for document deliveries
-
File client contracts and related documentation consistently
-
Ensure effective classification and document management
-
Monitor and report on past due records and destruction dates
-
Handle and resolve client concerns and complaints
-
Create and monitor work orders (retrievals, destruction, vault, containers, etc.)
-
Provide client quotes as needed
-
Manage switchboard operations professionally
-
Perform vault administration (return forms, locating tapes, preparing deliveries)
-
Maintain vault housekeeping standards
Minimum Requirements

Qualifications:

Post-Matric Certificate/Diploma in:

Customer Service Management
-
Customer Relationship Marketing
-
Sales or Marketing Management
-

Bachelor’s Degree is preferred

Experience:
-
2–3 years in customer service, retail, logistics, warehousing, or supply chain
-
Proven experience in capturing orders into a database system
-
