Tender Description
South African National Parks (SANParks) is inviting suitably qualified service providers to provide, install, operate and dismantle professional sound, lighting, staging and audio-visual equipment for the Northern Region Awards ceremony.
The event will take place indoors at the Masutsa Restaurant, Golden Gate Highlands National Park, and the appointed service provider will be responsible for ensuring that all sound, lighting and stage requirements are professionally installed, tested and operated throughout the event.
Objectives
The main objective is to appoint an experienced service provider capable of delivering a complete, professional and safe sound and lighting solution for the awards ceremony.
The service provider must ensure:
- High-quality audio and lighting throughout the venue.
- Professional stage and event presentation.
- Safe installation and operation of temporary structures and electrical equipment.
- Reliable equipment suitable for approximately 150 attendees.
- Timely setup before the event and complete dismantling afterwards.
Scope of Work
The successful bidder will be required to provide and manage the following:
Stage and Staging
- A 6m x 3m perspex stage.
- Stage steps.
- Stage skirting and trim lighting.
- Universal access ramp.
- Professional stage setup suitable for an awards ceremony.
Lighting
- Lighting coverage for a 4m x 3m stage area.
- Professional event/stage lighting equipment.
- Installation, operation and dismantling of lighting equipment.
Audio-Visual Equipment
- Professional PA sound system.
- Microphones.
- Back-screen monitor.
- Audio-visual equipment capable of providing clear sound and visuals throughout the venue.
Venue Capacity
The equipment and systems must adequately support approximately 150 attendees within a 300m² indoor conference space.
Setup and Dismantling
- Complete setup must be finished by 15:00 on 15 October 2026.
- All equipment must be dismantled and removed by 15:00 on 16 October 2026.
Technical Requirements
Bidders must provide professional-grade equipment capable of delivering clear, reliable and high-quality audio-visual output.
The service provider must also ensure:
- Compliance with applicable electrical and structural safety requirements.
- Safe installation of temporary staging and lighting structures.
- Proper testing and certification of electrical installations where required.
- Reliable operation throughout the event.
- Compliance with all specifications contained in the official tender documentation.
All pricing must be quoted in South African Rand (ZAR), excluding VAT, with delivery charges and other applicable costs clearly itemised.
Experience and Qualification Requirements
Previous Experience
Bidders must provide:
- Signed reference letters from three previous clients.
- References must demonstrate successful completion of similar:
- Stage design and construction projects.
- Audio-visual installations.
- Corporate or formal event production projects.
Structural Engineer
The bidder must provide a Curriculum Vitae for a structural engineer, together with certified qualifications, including:
- Recognised Civil or Structural Engineering degree.
- Current professional registration with the Engineering Council of South Africa (ECSA).
Electrical Compliance
Proof must be provided of registration as a Master Installation Electrician with the Department of Labour, as required by the applicable regulations.
Mandatory Administrative Requirements
Bidders should ensure that all required compliance documentation is submitted, including:
- Valid Central Supplier Database (CSD) registration.
- SARS tax compliance.
- Valid B-BBEE verification certificate or sworn affidavit, where applicable.
- Fully completed Standard Bidding Documents (SBDs).
- Required professional registration and certification documentation.
- Three signed client reference letters.
- Structural engineer CV and certified qualifications.
- Any additional documentation specified in the official tender documents.
Evaluation
Bids will be evaluated using a functionality threshold of 70%. Bidders must achieve the required minimum functionality score to proceed to the next stage of evaluation.
The tender uses the 80/20 preference point system, with points allocated for price and specified preference objectives in accordance with the applicable procurement requirements.
