Main Purpose of the Appointment
To manage and ensure the successful day-to-day operations at the Shell IVT Depot, delivering professional security services that exceed client expectations. The role focuses on protecting personnel, property, and information while ensuring operational efficiency and contract profitability.
Key Responsibilities
Operational Management
Oversee daily running of the Shell IVD contract
Ensure contract profitability and customer satisfaction
Review and sign the Occurrence Book daily and take corrective action where required
Sign Posting Sheets daily and ensure correct deployment of security officers
Monitor Attendance Registers (ensure all officers sign in and out)
Review and sign the Instruction Book
Ensure proper use of Site Inventory during handovers
Conduct inspections during shift changes
Confirm officers are correctly dressed, equipped, and briefed
Resolve pay queries and ensure accurate payments
Workforce & Roster Management
Prepare and distribute duty rosters on time
Authorise monthly timesheets
Analyse the Easy Roster system for manpower allocation
Identify and correct over- and under-posting issues
Ensure cost-effective staffing aligned with contract requirements
Customer Liaison & Relationship Management
Conduct monthly formal meetings with:
Terminal Manager
Security Focal Point (SFP)
General Manager (GM must attend)
Submit meeting minutes within 7 days
Ensure site senior participation
Communicate meeting outcomes to all security officers
Resolve customer complaints within 2 working days
Ensure monthly Customer Service Assessments are completed
Conduct site visits according to a structured visit plan
Site Compliance & Documentation
Ensure Site Instructions and emergency plans are in place
Review and update Site Instructions annually
Obtain annual customer approval of Site Instructions
Maintain correct registers and files on site
Ensure all officers are inducted and trained
Test new employees within 2 weeks of deployment
Identify training needs and recommend training
Ensure monthly Site Knowledge Tests are conducted
Audits, Risk & Asset Management
Conduct quality audits according to audit plan
Perform Health & Safety Risk Assessments
Ensure officers are aware of key physical risk factors
Complete audit and risk documentation
Safeguard and maintain company assets
Conduct monthly equipment checks
Submit monthly operational reports
Discipline & HR Management
Maintain strict discipline across all sites
Conduct disciplinary hearings, appeals, and grievances in line with company disciplinary code
Minimum Requirements
5–10 years’ experience in a similar security supervisory role
Grade 12 (Matric)
Valid Driver’s Licence
Firearm competency
