    Job Overview

    The Administrative Clerk plays a key support role within Group Services, providing administrative and operational support across multiple functions. This role is responsible for accurate data entry, invoice processing, reporting, and general office administration, while ensuring compliance with company procedures. The role also involves facility support tasks such as managing fire safety systems and pest control for stores.

    This position is ideal for a detail-oriented, organized individual with strong administrative skills, good communication, and the ability to manage multiple tasks efficiently.

    Job Description

    General Administration & Reporting

    • Perform general administrative tasks as required

    • Prepare and submit daily update reports to the Group Services Manager and HOD

    • Maintain organized and accurate records and documentation

    Financial Administration & Invoice Processing

    • Accurately record invoice transactions and Magento updates into designated accounting systems

    • Process invoices, bills, and payments to ensure timely settlement

    • Maintain comprehensive financial records and reconcile any discrepancies

    • Report invoices to the Head of Group Services for review and approval

    Data Entry & Systems

    • Data entry and reporting using relevant systems

    • Maintain and update records in Magento and other systems

    • Ensure data accuracy and consistency across platforms

    Customer / Client Service Support

    • Provide customer service support where needed

    • Communicate effectively with internal stakeholders and external parties

    Stock Management Support

    • Assist with stock management activities as required

    Facility & Compliance Management

    • Coordinate installation, maintenance, and compliance of fire safety systems across locations

    • Manage pest control tickets and renew contracts for stores when needed

    • Ensure compliance with safety and maintenance requirements

    Minimum Qualifications & Experience

    • Minimum 2 years’ experience in a similar administrative role

    • Customer service experience advantageous

    • Experience in retail or warehouse management systems (Magento preferred) is beneficial

    Skills Required

    • Basic computer literacy (Word, Excel, email)

    • Proficiency in Magento system software (preferred)

    • Good understanding of database concepts

    • Strong communication (written and verbal)

    • Strong administrative and organizational skills
