Key Duties and Responsibilities
The selected candidate will be responsible for managing the office operations of the Senior Director of University Estates. Responsibilities include but are not limited to:
Office Administration & Scheduling
- Scheduling appointments and meetings.
- Coordinating the diary of the Senior Director and management team.
- Managing correspondence and inquiries.
- Preparing meeting documents, taking minutes, and distributing them.
Reception & Communication
- Professional management of the Senior Director’s reception desk.
- Answering, screening, and forwarding incoming phone calls.
Travel & Procurement Management
- Arranging travel and accommodation, including reimbursements.
- Procuring office supplies and equipment.
Financial & Budget Management
- Processing invoices and monitoring operational budgets.
Event Coordination & Special Projects
- Arranging and coordinating events.
- Assisting with presentations and reports.
- Following up on action points to ensure deadlines are met.
- Attending to ad-hoc tasks as required.
Minimum Requirements
To be considered for this position, applicants must meet the following criteria:
Educational Qualification:
- A Bachelor’s degree, Advanced Diploma (BTech degree), or Postgraduate Certificate in Office Management, Office Administration, or a related field (NQF Level 7).
Work Experience:
- At least two (2) years of relevant work experience in an administrative role similar to the responsibilities outlined above.
Preferred Requirements
While not mandatory, the following qualifications and experience would be advantageous:
Work experience within the higher-education sector.
