    Job Description

    The Administration Clerk Supervisor is responsible for supervising and coordinating administrative functions within the Management Information and Strategic Planning section of the Directorate for Priority Crime Investigation (DPCI). The role supports the implementation of national policies, strategic planning initiatives, management information systems, monitoring and evaluation processes, and the preparation of strategic reports and presentations.

    The successful candidate will assist in maintaining management information databases, coordinate strategic planning activities, consolidate management information, support audit processes, prepare official reports and responses, ensure compliance with information security standards, and supervise the effective use of human, financial, and physical resources.

    Key Responsibilities

    Management Information

    • Assist in implementing national management information policies.
    • Maintain management information databases.
    • Collect and update information relating to resources, skills, and human development.
    • Evaluate and consolidate management information.
    • Ensure the accuracy and integrity of management information records.

    Strategic Planning

    • Assist in facilitating strategic management processes within the DPCI.
    • Support strategic planning initiatives for the Office of the Provincial Head.
    • Coordinate planning activities.
    • Assist in implementing national strategic plans.
    • Monitor progress against strategic objectives.

    Monitoring, Evaluation & Reporting

    • Compile monitoring and evaluation reports.
    • Prepare performance and management reports.
    • Consolidate information for internal and external reporting.
    • Produce reports requested by management.
    • Support evidence-based decision-making through accurate reporting.

    Presentation & Communication

    • Prepare presentations for internal meetings.
    • Develop presentations for external stakeholders.
    • Prepare briefing documents.
    • Assist with official correspondence and communication.

    Audit & Compliance

    • Coordinate matters relating to the Auditor-General of South Africa and internal audits.
    • Support audit preparation activities.
    • Ensure compliance with national policies and procedures.
    • Monitor implementation of audit recommendations.

    Parliamentary & Official Reporting

    • Prepare responses to official enquiries.
    • Assist with parliamentary questions and information requests.
    • Consolidate management information for Parliamentary Portfolio Committee briefings.
    • Coordinate responses on transversal matters affecting the department.

    Information Security

    • Ensure compliance with the Minimum Information Security Standards (MISS).
    • Apply the Protection of Information Act requirements.
    • Protect confidential departmental information.
    • Promote information security compliance within the section.

    Resource Management

    • Supervise administrative staff.
    • Manage allocated human resources.
    • Oversee financial and physical resources.
    • Monitor staff performance and productivity.
    • Ensure efficient utilization of departmental resources.

    Minimum Requirements

    Educational Requirements

    • Senior Certificate (Grade 12), or
    • National Certificate (Vocational) recorded on the National Learner Record Database (NLRD) at NQF Level 4.

    Experience Requirements

    • Minimum 4 years’ appropriate and relevant experience in administration, management information, strategic planning, or a related field.

    Language Requirements

    • Proficient in at least two official South African languages, one of which must be English.

    Citizenship & Security Requirements

    • South African citizenship.
    • Documentary proof of citizenship.
    • No previous criminal convictions.
    • No pending criminal or departmental cases.
    • Willingness to undergo security screening, vetting, and fingerprint verification.
