    Job Description

    The Personal Assistant (PA) provides high-level administrative, secretarial, and coordination support to a manager or director. The role focuses on ensuring smooth daily operations through efficient diary management, communication handling, office administration, and coordination of tasks.

    This is a fast-paced role requiring strong organisational ability, discretion, and the ability to work independently in a remote environment.

    Key Responsibilities

    Administrative Support

    • Provide daily administrative and secretarial support to management.
    • Prepare correspondence on behalf of managers or directors.
    • Manage filing systems (digital and physical).
    • Maintain organised office systems and workflows.

    Diary & Schedule Management

    • Manage calendars, appointments, and meeting schedules.
    • Coordinate internal and external meetings.
    • Arrange and confirm travel bookings and complex itineraries.
    • Plan and organise events and meetings.

    Communication Management

    • Answer calls and respond to client or stakeholder queries.
    • Liaise with clients, staff, and external stakeholders.
    • Ensure professional communication at all times.
    • Report relevant issues to management.

    Office Coordination & Operations

    • Manage office supplies and equipment orders.
    • Monitor IT-related issues and escalate where necessary.
    • Supervise administrative workflows when required.
    • Assist in office management tasks.

    Confidentiality & Professional Conduct

    • Handle sensitive information with discretion.
    • Maintain confidentiality at all times.
    • Work professionally under pressure.
    • Make sound decisions when handling urgent tasks.

    Financial & Compliance Support

    • Assist with petty cash management and record keeping.
    • Process journals and maintain financial logs (Sage system).
    • Support account reconciliations (loan accounts, intercompany balances).
    • File and verify invoices, receipts, and supporting documents.

    Health & Safety & Reporting

    • Assist in implementing company health and safety policies.
    • Monitor administrative compliance requirements.
    • Provide reports and updates to management.

    Minimum Requirements

    Education

    • Grade 12 (Matric) or equivalent

    Experience

    • Prior experience in:
      • Administration
      • Secretarial work
      • Personal assistant or office support roles (preferred)

    Required Skills

    • Strong organisational and planning skills
    • Excellent written and verbal communication
    • Ability to work independently (remote work discipline)
    • High level of confidentiality and discretion
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
    • Problem-solving ability
    • Ability to work under pressure
    • Good time management
    • Basic financial/admin system exposure (advantage: Sage)
