Job Description
The Outbound Clerk is responsible for ensuring accurate invoicing, dispatch coordination, stock transfer processing, and communication regarding stock availability.
The role supports the smooth movement of goods and helps ensure operational efficiency within the logistics department.
Key Responsibilities
Invoicing and Dispatch Administration
- Generate accurate invoices for dispatched goods.
- Capture weight information for billing purposes.
- Verify customer orders against invoices.
- Ensure pricing, quantities, and products are accurate.
Stock and Transfer Management
- Process stock transfers between branches or departments.
- Update inventory records accordingly.
- Remove stock-out items from invoicing processes.
- Communicate stock shortages to the sales department.
Communication and Coordination
- Coordinate with:
- Sales teams
- Warehouse teams
- Logistics departments
- Resolve invoicing and dispatch issues quickly.
- Maintain effective communication regarding orders and stock.
Data Accuracy and Reporting
- Maintain accurate invoicing and dispatch records.
- Ensure proper documentation for:
- Audits
- Financial reconciliation
- Reporting
- Generate operational reports when required.
Compliance and Safety
- Ensure compliance with company policies and regulations.
- Protect confidential and sensitive information.
- Adhere to safety standards and PPE requirements.
- Participate in meetings, coaching, and training sessions.
Continuous Improvement
- Identify opportunities to improve dispatch and invoicing processes.
- Support operational efficiency and customer service improvements.
Minimum Requirements
Applicants should have:
- Grade 12 / Matric certificate.
- 3–5 years’ experience in a similar role.
- FMCG retail experience preferred.
