Job Overview
The Admin Manager at VKB Retail is responsible for ensuring operational integrity, compliance, and administrative excellence within the branch. This role is the administrative backbone of the branch, supporting staff, protecting internal controls, and ensuring that the branch operates efficiently and ethically.
The successful candidate will be detail-driven, people-focused, and solution-oriented, with strong numerical and reconciliation skills. The role involves safeguarding the business through control verification, audit support, risk reduction, and ensuring high service standards.
Purpose of the Role
To manage and maintain the branch’s administrative functions, ensuring compliance, internal control, and operational efficiency while supporting staff and customer service excellence.
Key Responsibilities
1. Internal Controls & Compliance

Verify and safeguard internal controls (inventory, claims, returns, shipments)

Reconcile financial transactions and ensure accuracy
-
Ensure compliance with VKB policies, legislation, and reporting standards
-
Conduct inventory surveys and implement corrective action plans
2. Audit & Risk Management

Address audit findings and implement risk reduction measures
-
Support branch inspections and monthly risk reporting
-
Improve administrative standards through ongoing monitoring and controls
3. Administrative Oversight

Oversee key admin functions including petty cash, bank reconciliations, vouchers, and stock claims
-
Ensure accurate record-keeping and documentation
-
Provide guidance to staff on admin processes and query resolution
4. Stakeholder Collaboration & Support

Build strong relationships with internal departments (HR, Finance, Audit, Procurement)

Provide coaching and support to branch team members
-
Ensure timely and professional handling of customer queries
5. Team Leadership & Development
-
Mentor and guide staff to improve performance and operational understanding

Promote a culture of compliance, accuracy, and service excellence
Requirements
-
Grade 12 or NQF4 qualification
-
Minimum 4 years’ experience in a similar administrative role
-
Experience in the agriculture industry is advantageous

Strong MS Word and Excel skills

Strong numerical and reconciliation skills

Detail-oriented, accurate, and thorough
-
Strong interpersonal skills and supportive attitude

Bilingual in Afrikaans and English is advantageous
