Job Purpose
As a Branch Administrator, you are responsible for ensuring the smooth and efficient administration of the laboratory and Care Centre. The role supports patient services, specimen processing, billing administration, record management, and day-to-day operational activities.
You will serve as an important link between patients, healthcare professionals, clinicians, and laboratory staff by ensuring accurate administration, professional customer service, and compliance with healthcare quality standards.
Key Responsibilities
1. Patient Reception and Customer Service
- Welcome and assist patients professionally and courteously.
- Guide patients through requisition forms and registration processes.
- Provide information regarding laboratory services and procedures.
- Answer telephone calls and respond to routine enquiries.
- Resolve patient concerns and escalate complex issues when necessary.
- Maintain a professional and patient-centred environment.
2. Administrative Support
- Perform general branch administration duties.
- Capture and update patient and laboratory information accurately.
- Prepare, process, and distribute administrative documents.
- Maintain organized filing and record management systems.
- Process correspondence and administrative communications.
- Ensure documentation is complete and compliant with company procedures.
3. Laboratory Administration Support
- Receive and verify specimens against test requests.
- Confirm specimen details and documentation accuracy.
- Label, batch, and prepare specimens according to laboratory protocols.
- Support specimen tracking and processing workflows.
- Assist in ensuring reports are distributed to doctors, clinics, and hospital wards promptly.
4. Billing and Financial Administration
- Conduct medical aid and benefits verification checks.
- Assist with patient account enquiries.
- Process cash and card payments accurately.
- Generate pro forma invoices when required.
- Maintain accurate financial transaction records.
- Follow company procedures regarding billing and payment processing.
5. Information Management
- Capture information on the Laboratory Information System (LIS).
- Maintain confidentiality of patient and medical records.
- Ensure accurate data entry and record keeping.
- Update databases and administrative systems.
- Verify information before submission or processing.
6. Operational Support
- Support smooth branch operations and workflow management.
- Monitor administrative processes for efficiency.
- Identify potential delays and proactively address issues.
- Escalate operational concerns appropriately.
- Assist management with routine administrative reporting.
Minimum Requirements
Essential Qualification
- Grade 12 (Matric).
Experience
- 1–4 years of administrative experience.
- Experience in a healthcare, pathology, laboratory, hospital, medical practice, or medical administration environment will be advantageous.
