Job Purpose
The Inventory Controller is responsible for maintaining accurate vehicle stock records, managing inventory-related transactions, resolving stock discrepancies, and overseeing purchase order administration. The role serves as a key link between operational departments and the finance/accounts team, ensuring inventory accuracy, proper documentation, and efficient financial processing.
Key Responsibilities
Purchase Order Administration
- Open, approve, and close administrative purchase orders.
- Ensure compliance with company Standard Operating Procedures (SOPs).
- Capture detailed and accurate purchase order notes on the system.
- Upload and maintain supporting documentation.
- Process purchase order reversals and corrections.
- Provide system support relating to purchase orders.
- Extract and process purchase order data.
- Conduct daily follow-ups on outstanding purchase orders to ensure closure.
Inventory and Stock Control
- Investigate and resolve daily stock take exceptions.
- Analyse inventory discrepancies and determine root causes.
- Verify vehicle status and location accuracy within the system.
- Report discrepancies to relevant departments.
- Monitor inventory records and ensure data integrity.
- Provide troubleshooting and system support related to stock management.
- Follow up with departments to ensure timely correction of stock records.
- Compile daily inventory discrepancy reports for management.
Financial and Administrative Support
- Arrange payment requisitions for service providers.
- Open and close consumable-related purchase orders.
- Assist the Finance and Accounts Department with queries.
- Ensure supplier payment purchase orders are accurately processed.
- Maintain accurate financial and inventory records.
Reporting and Communication
- Prepare daily stock discrepancy and resolution reports.
- Liaise between finance, operations, and branch management teams.
- Communicate inventory issues and corrective actions effectively.
- Ensure alignment between operational activities and financial records.
General Duties
- Maintain proper filing and documentation.
- Ensure compliance with company policies and procedures.
- Perform additional duties assigned by management.
Minimum Requirements
Qualifications
- Grade 12 (Matric).
Experience
- Minimum of 3 years’ experience in Inventory Management.
- Previous experience within the Motor Industry.
- Experience working with stock control systems and inventory processes.
Advantageous Experience
- Technical or mechanical background.
- Knowledge of vehicle repairs and maintenance processes.
- Experience in automotive dealership or vehicle fleet environments.
