     Job description

    To ensure accurate and timely reconciliation of driver accounts, route settlements, and cash transactions, while maintaining proper financial records and supporting administrative processes within the distribution team.

    Key Responsibilities

    1. Driver Reconciliations

    • Process and reconcile daily driver route settlements
    • Verify route recaps and correct discrepancies
    • Ensure all reconciliations are completed daily
    • Follow up on outstanding or missing route documentation
    • Handle RMA route settlements and corrections

    2. Debtors & Payment Control

    • Allocate EFT payments accurately to accounts
    • Monitor and resolve unallocated payments
    • Reconcile customer accounts and follow up on overdue balances
    • Generate and distribute customer statements
    • Place overdue accounts on hold and maintain reports
    • Escalate problematic accounts when necessary

    3. Ledger Control

    • Reconcile driver ledger accounts and resolve discrepancies
    • Monitor and report outstanding EFT payments daily
    • Identify and report cash shortages
    • Supervise and support ledger clerks

    4. Cash Office Administration

    • Receive and verify daily cash-up documentation
    • Resolve queries from head office and internal departments
    • Ensure accurate record-keeping of all cash transactions

    5. Reporting & Administration

    • Maintain accurate daily financial and reconciliation reports
    • Update systems (e.g., GRV entries, invoice assignments)
    • Ensure all records are up to date and compliant
    • Assist with general administrative duties

    6. Team Support

    • Assist Recon Clerks, Ledger Clerks, and Admin staff
    • Support Administrative Controller and Manager
    • Liaise with delivery managers to resolve queries

    Minimum Requirements

    • Grade 12 (Matric) or equivalent (NQF 4)
    • 1–3 years’ administrative experience (preferably in logistics/distribution)
    • Computer literacy (especially Microsoft Excel)
    • Fluent in Business English

    Advantage:

    • Qualification in Finance, Administration, Business Management, or Logistics
