Job Description
Air Traffic and Navigation Services (ATNS) is seeking an Administrator: OPS FAOR to provide comprehensive office administration, procurement, finance, secretarial, and quality management support.
The successful candidate will assist management by:
- Implementing ISO procedures
- Managing office administration functions
- Coordinating procurement and finance documentation
- Supporting meetings and communication processes
- Maintaining quality management systems
- Supporting stakeholder communication and operational administration
Duties and Responsibilities
Office Management and Administration
The successful candidate will:
- Maintain accurate records and ensure confidentiality
- Capture and manage administrative data
- Process ATS staff training requests
- Ensure required documents reach Human Capital
- Process:
- Staff licences
- ACSA permits
- Medicals for employees and contractors
- Order and control:
- Stationery
- Refreshments
- Process medical claims for Air Traffic Controllers
- Monitor and respond to emails accurately and on time
- Receive and distribute Aeronautical Information Publications (AIP)
- Safeguard staff licences
- Submit:
- Subsistence and travel claims
- Overtime documentation to Payroll
- Perform general administrative duties assigned by management
Secretarial Services
The role includes:
- Arranging meetings and informing participants of:
- Venue
- Time
- Agenda
- Preparing meeting packs professionally
- Distributing:
- Agendas
- Minutes
- Presentations
- Taking and transcribing meeting minutes
- Distributing meeting minutes within seven working days
- Typing documents accurately and timeously
- Arranging:
- Travel
- Accommodation
- Handling incoming and outgoing mail
- Coordinating courier services
Procurement and Finance Management
Responsibilities include:
- Submitting purchase requisitions
- Following procurement procedures
- Following up on supplier orders
- Sending source documents to creditors for payment
- Ensuring monthly contract payments are completed
- Assisting the creditors department with:
- Supplier statements
- Financial information
Quality Management
The candidate will:
- Implement ISO procedures according to the Quality Management System (QMS)
- Assist with reviewing:
- Procedures
- Directives
- Instructions
- Publish QMS documents on the ATNS portal
- Update filing indexes
- Follow up on Continuous Improvement Reports
Stakeholder Relations Management
The successful candidate will:
- Build strong relationships with internal and external stakeholders
- Handle operational queries and communication
- Assist with communication to and from management offices
- Coordinate responses and instructions professionally
Minimum Requirements
Qualifications
Applicants must have:
- Grade 12 / Matric or equivalent
- Office Administration qualification
Experience
- Minimum of 3 years’ office administration experience or equivalent
