Main Purpose of the Position
To provide administrative support to the office and production teams, assist with daily office operations, perform relief weighbridge duties, coordinate samples and deliveries, and ensure efficient administration within the business.
Key Responsibilities
1. General Office Administration
- Perform daily administrative and clerical duties.
- Maintain accurate records and filing systems.
- Provide administrative support to office staff and management.
- Ensure smooth and efficient office operations.
2. Communication and Reception Support
- Answer incoming telephone calls professionally.
- Direct calls to the relevant departments or personnel.
- Respond to emails and general enquiries.
- Welcome and assist visitors to the office.
3. Office Supplies and Stock Control
- Order office stationery and supplies.
- Monitor and manage office stock levels.
- Ensure availability of essential office resources.
4. Weighbridge Operations
- Perform relief duties on the weighbridge when required.
- Assist with weighing and recording incoming and outgoing loads.
- Ensure accurate capture and administration of weighbridge information.
5. Production Administration
- Assist with production-related administrative processes.
- Maintain production records and supporting documentation.
- Support operational staff with administrative requirements.
6. Deliveries and Logistics Administration
- Receive and process incoming packages and deliveries.
- Coordinate the handling of deliveries and courier collections.
- Ensure documentation relating to deliveries is properly recorded.
7. Sample Management and Laboratory Coordination
- Receive soil and leaf samples from agricultural agents.
- Prepare and send samples to laboratories for analysis.
- Coordinate fertiliser sample submissions for laboratory testing.
- Maintain records of samples submitted and results received.
8. Executive Support
- Provide administrative support to the Managing Director.
- Assist with ad hoc tasks and special projects.
- Prepare documents, reports, and information as requested.
Minimum Requirements
Educational Qualification
- Grade 12 (Matric) or NQF Level 4 equivalent qualification.
Experience
- Minimum 1–2 years’ experience in a similar administrative or office support role.
Technical Requirements
- Proficiency in Microsoft Office applications, including:
- Microsoft Word
- Microsoft Excel
- Microsoft Outlook
- Microsoft PowerPoint
- Experience using office equipment such as:
- Printers
- Scanners
- Copiers
