    Job Description

    The Personal Assistant / Receptionist is responsible for providing comprehensive administrative, secretarial, and reception support to the Regional Manager while ensuring the efficient operation of the branch office. The role involves managing diaries and appointments, coordinating meetings and events, handling correspondence, preparing reports and presentations, managing the switchboard, welcoming visitors, and maintaining strict confidentiality.

    The successful candidate will serve as the first point of contact for clients and visitors, support operational coordination, and ensure that administrative processes run efficiently while maintaining a professional image of Fidelity Services Group.

    Key Responsibilities

    Executive and Personal Assistant Support

    • Manage the Regional Manager’s diary, appointments, and schedules.
    • Coordinate meetings, client engagements, and events.
    • Organise travel arrangements when required.
    • Provide comprehensive secretarial support.
    • Maintain confidential records and communications.

    Administrative Support

    • Perform general office administration duties.
    • Prepare, type, and format documents, reports, and presentations.
    • Compile weekly and monthly management reports.
    • Consolidate management information.
    • Maintain filing systems and office records.
    • Assist with operational administrative tasks.

    Communication and Correspondence

    • Manage incoming and outgoing correspondence.
    • Coordinate emails and written communications.
    • Screen telephone calls and direct them appropriately.
    • Take and relay messages accurately.
    • Liaise with staff across different levels of the organisation.

    Reception and Front Office Duties

    • Welcome and assist walk-in clients and visitors.
    • Direct visitors to the appropriate departments.

    Meeting Administration

    • Schedule meetings.

    Minimum Requirements

    Applicants must have:

    Educational Qualifications

    • Grade 12 (Matric).
    • Post-school qualification in Administration or Secretarial Studies.

    Experience

    • 3–5 years’ experience as an Administrator or Personal Assistant supporting Senior Management.

    Licences

    • Valid driver’s licence.
    • Own reliable transport.

    Availability

    • Willingness to travel when required.
    • Ability to work extended hours when necessary.
