- Head Invigilator – R147.73/hour
- Invigilator – R117.25/hour
- Administrative Support Assistant – R101.43/hour
JOB DESCRIPTION
The Ad Hoc Academic Administration Support Staff provides flexible, part-time support to ensure the smooth functioning of academic processes. This includes assisting with examinations, graduation ceremonies, and curriculum administration.
The role requires individuals who are reliable, detail-oriented, and able to work independently, while maintaining high standards of confidentiality and academic integrity.
KEY RESPONSIBILITIES
Examination & Invigilation Support
- Prepare and organise examination venues
- Distribute and collect exam papers and answer scripts
- Verify student attendance and identity
- Supervise students during exams
- Monitor for cheating or irregularities (including camera monitoring)
- Report incidents verbally and in writing
- Ensure all exam procedures are strictly followed
- Assist with capturing attendance records
Head Invigilator Duties (if appointed)
- Lead and coordinate invigilators
- Ensure exam sessions run according to schedule
- Make official announcements to students
- Manage exam materials and documentation
- Submit reports and verify invigilator claims
Administrative Support (Exams, Graduation, Curriculum)
- Capture and process academic data (e.g., attendance)
- Assist with graduation setup and logistics
- Support operations during graduation ceremonies
- Conduct venue audits and check timetable compliance
- Identify scheduling conflicts and report findings
General Duties
- Maintain accurate records and documentation
- Follow university rules and procedures
- Provide logistical and physical support when required
- Communicate effectively with supervisors and team members
Minimum Requirements
- Grade 12 (Matric) / NQF Level 4
- Basic computer literacy (MS Office, digital tools)
- Ability to work independently and responsibly
Recommended / Advantageous
- Post-matric qualification (NQF Level 5 or higher)
- Previous experience in:
- Invigilation
- Administration
- Event or academic support
- Strong attention to detail
- Good communication skills
- High level of reliability and professionalism
- Availability during peak periods (exams & graduations)
