Job Purpose
The Day Clinic Coordinator is responsible for coordinating and managing all patient administration and financial processes within the day clinic. This includes patient admissions, discharges, billing, case management, authorisations, account finalisation, and financial risk management to ensure accurate and efficient service delivery.
Key Responsibilities
1. System and Process Coordination
- Coordinate patient admission and discharge procedures.
- Manage patient case administration processes.
- Obtain and verify medical aid authorisations.
- Ensure all patient information is accurately captured and updated.
- Coordinate daily operational activities related to patient administration.
2. Financial Control and Billing
- Perform daily billing of patient accounts.
- Finalise accounts accurately and timeously.
- Ensure all charges are correctly allocated and processed.
- Monitor financial risk processes for all day clinic cases.
- Manage receipting and payment-related activities.
- Identify and address potential financial risks.
3. Communication Management
- Liaise with patients, medical schemes, healthcare professionals, and internal departments.
- Communicate authorisation and billing information effectively.
- Handle patient enquiries professionally and confidentially.
- Provide accurate information regarding accounts and admissions.
4. General Administration
- Maintain patient records and documentation.
- Ensure compliance with hospital administrative procedures.
- Support daily administrative operations of the clinic.
- Prepare documentation required for admissions and discharges.
5. Patient Satisfaction
- Deliver professional and courteous customer service.
- Ensure a positive patient experience throughout the admission and discharge process.
- Address patient concerns and administrative queries efficiently.
- Maintain confidentiality and professionalism at all times.
Minimum Requirements
Essential Education
- Grade 12 (Matric) or equivalent qualification.
Desired Education
- No additional qualification required.
Experience Requirements
Essential Experience
- 1–2 years’ experience in reception or administrative roles.
Advantageous Experience
- Accounts control and billing experience.
- Confirmation and authorisation experience within a Mediclinic acute hospital environment.
- Healthcare administration experience.
